About Sandcastles (Boodja Mia) Childrens Hospice

Opening in 2026 Sandcastles Childrens Hospice is a purpose built worldclass paediatric hospice located along Western Australias stunning coastline. The hospice will provide state-wide specialist paediatric palliative care for children and young people who are living with life limiting or life- threatening conditions as well as support for their families.

This state-of-the-art hospice will be the first of its kind in Western Australia. Designed to be a calm welcoming and a home away from home facility the hospice will offer specialised paediatric palliativecare in an environment that prioritises joyful memory making and meaningful connection.

About the role

The Administration Officer provides comprehensive operational administration support across the non-clinical functions of Sandcastles (Boodja Mia). The role is a full-time position that supports the smooth day-to-day running of the facility with a particular focus on administration contractor coordination compliance documentation and facilities oversight support. As a small generalist team this role is expected to be a genuine all-rounder flexing readily into other non-clinical areas as demand requires including hands-on support for guest activities and events and adapting quickly as the facilitys operating model matures beyond opening.

The Administration Officer works closely with the Support Services Manager (Non-Clinical). The role provides the administrative backbone for contractor coordination purchasing and compliance tracking while remaining available to pick up broader operational and guest experience tasks including activities and events support as priorities shift.

Given the nature of the facility the role requires genuine empathy and emotional sensitivity and will have regular contact with children and families facing life-limiting conditions grief and loss. This is a full-time role.

Key Responsibilities

  • Provide comprehensive admin support to the Support Services Manager (Non-Clinical) and the broader non-clinical team including facility-related correspondence filing and recordsmanagement.
  • Coordinate contractor scheduling manage purchase orders and maintain compliance maintenance and inspection records.
  • Organise meeting logistics (agendas minutes actions) and assist with procurement of supplies and equipment.
  • Support onboarding administration for new non-clinical staff and volunteers including inductions and documentation.
  • Provide administrative and hands-on support for events fundraising and activities from event logistics on-the-day delivery activity set-up and stepping in to cover tasks duringabsences or peak periods.
  • Operate as a flexible all-round team player willingly turning hand to tasks outside the core admin remit including guest experience events and activities this is a true generalistrole within a small team.
  • Bellas backup handler train as backup handler for Sandcastles facility dog Bella and provide cover when needed.

About You

Youre an experienced administrator who thrives in a fast-paced environment and can manage competing priorities with strong attention to detail.

Given the nature of our facility genuine empathy compassion and emotional resilience are essential as the role involves supporting children and families experiencing life-limiting illness grief and loss.

Youll bring:

  • Minimum 2 years experience in an administrative office management or operations support role.
  • Experience in delivering activities events guest services or hospitality is highly regarded.
  • Highly adaptable and flexible comfortable working across a broad and shifting range of tasks.
  • Collaborative all-rounder mindset with a positive can-do attitude.
  • Highly organised with a systematic and methodical approach to administration.
