We have an opportunity foraAdministration Officer to join us on a full-time basis in an ongoing capacity subject to funding (currently funded until mid-2028). The role may belocatedanywhere in Australia and will involve travel withovernight stays for organisational meetings stakeholder meetings workshops and industry events.
About the position
TheAdministrationOfficerprovidescomprehensive administrative supportacrossa busyTraining Products crucial roleworking under the guidance of the Executive Director Training Productsandassistinginensuring the smooth operation ofthevariousadministrative needs of the teamandfacilitatingeffective communicationrelated totraining packageefforts.
Key Accountabilities
This role will:
- Provide administrative support including scheduling meetings coordinating calendars and managing correspondence.
- Assistin the preparation of documents presentations and reports for internal and external stakeholders.
- Maintain and organise electronic ensuring accuracy and accessibility.
- Supportlogisticsfor eventsconferencesworkshops and meetings including venue bookings travel arrangementsregistrationsand catering.
- Work with Project Coordinators in monitoringand trackingproject timelines deliverables and milestones.
- Serve as a point of contact for inquiries from stakeholders providingtimelyand courteous responses.
- Support ExecutiveDirectorwithanyadmin overload.
- Collaborate with team members toidentifyprocess improvements and implement efficiency measures.
- Observe and followwork health safety and wellbeing policies and guidelines.
Qualifications and Experience
- Excellent written and verbal communication skills
- Excellent organisational and project management skills.
- High level IT skills in a range of software associated tothe role.
- Ability to work independently with a keen eye for detail.
- Demonstrated ability to manage multiple tasks simultaneously and meet deadlines.
- Demonstratedproactiveapproach and ability toefficiently manage multiple tasks in a fast-paced environment.
- Embracesworking ina fast-paced environment.
Further Information
This positionisoffered on an ongoing basisto reflect Department of Employment and Workplace Relations (DEWR) grant funding untilJune 2028.
There may be times when it isrequiredto work outside normal business hours i.e. evenings and weekends to meet operational and/or stakeholder requirements and dependant on work deliverables the role may berequiredto undertake travel.
Weoperatea hybrid working model. While flexibility is supported the balance of office-based work in-person attendance at meetings events etc and remote work will vary depending on role location and business needs.
All appointees must be willing to obtain a police check and Working with Children Check.
