About the role
DCC is looking for an Administration Assistant that forms partof the Administrative Operations Team (AOT) on a 12 month fixedterm contract. This role fills a critical administrative rolewhich supports Davies Collison Cave leading Patent and Trade MarkPractices across Australia and Asia reporting to the OperationsManager.
The role requires a strong focus on accuracy timeliness andservice delivery with a consistent commitment to maintaining highservice standards for Principals operators and internalstakeholders. You will be part of a busy friendly teamworking in a collaborative and supportive environment.
This is an in office role 9am-5pm five days a week.
Key Responsibilities
Administration Assistant
- Learn and understand the in-house processing systems for incoming electronic transmissions and physical related correspondence
- Read process and distribute incoming electronic correspondence received to the DCC central email address
- Process incoming electronic and physical correspondence for scanning and filing into the DCC Document Management System
- Participate in the accurate filing and storage of physical correspondence
- Participate in the processing of incoming physical correspondence reading sorting distribution and delivery
- Participate in the team by providing assistance with other general duties in the Administration Assistant Team
- Develop and maintain a high level of customer service to DCC Principals Attorneys and internal staff at all times
Operational Support
- Prepare tax invoices in accordance with firm processes.
- Provide administrative and operational support to the Trade Mark Operations group as required.
- Assist other AOT functions where needed as directed by the AOT Trade Mark Coordinator & Operations Manager.
About You
- Exposure to administration data entry and document management systems
- Strong organisational skills with the ability to manage competing priorities and meet critical processing requirements.
- High level of attention to detail and commitment to data accuracy.
- Well-developed written and verbal communication skills.
- Strong customer service mindset with a professional and responsive approach.
- Proficiency in Microsoft Office:
- Outlook
- Word
- Excel
- Inprotech and iManage experience is an advantage
- Understanding of data quality control processes.
