We are currently looking for Assistant Director of Rooms & Residences

Function:

  • Attend and participate in all Operations meetings and events.
  • Conduct regular tours of the residences and make recommendations for changes as well as note deficiencies and ensure corrective action is taken.
  • Meet on a regular basis with all managers supervisor and nonmanagement employees.
  • Develop profit improvement ideas policies and procedures and implement them with approval of the Director of Residences.
  • Assist in ensuring that all areas of the residences are appropriately staffed to handle demand periods and that staff are well trained polite and conduct themselves in a professional manner.
  • Ability to develop with the aid of key personnel strategies and programs to ensure attainment of the residential goals and objectives.
  • Ability to participate in the preparation of a comprehensive annual operating profit plan for all departments in the residential operation with addendum plans for maintenance repair sanitation energy conservation and uniform replacement.
  • Capable of preparing a capital expenditure plan/reserve study plan.
  • Ability to prepare quarterly staffing development succession plan and salary administration plan.
  • Coordinate and manage the daytoday operations of the residences.
  • Ensure all Four Seasons residence Policies and Procedures are followed.
  • Conduct weekly Operations meetings to discuss operational challenges opportunities and to improve or maintain an excellent communication flow.
  • Monitor and review the daily labor report and the monthly profit and loss statement analyze results and take action when necessary.
  • Monitor all standards in the residences to ensure they are in place and enforced.
  • Initiate all purchase requests and orders to ensure adherence to purchasing procedures.
  • Develop and install a system of standards of performance whereby each individual may objectively appraise their own management performance.
  • Implement performance planning and review all management personnel according to established performance standards and mutually agreed upon results to budgeted plans.
  • Set forth clear guidelines and ensure that these are adhered to throughout all residential operations.
  • Implement and develop training programs in all departments to produce indepth qualified personnel to ensure continuity of management and to prepare for vacancy and/or transfer requirements.
  • Set forth minimum acceptable standards of quality operation and service as a benchmark point for selfmeasurement.
  • Supervise all key management personnel in carrying out their operating responsibilities and tasks coordinating efforts and establishing priorities where necessary.
  • Control all capital and reserve fund expenditures and ensure the proper guidelines are adhered to and projects are completed on a timely basis.
  • Control expenses based on budget.
  • Ensure the facility is well maintained with respect to Housekeeping and Engineering.
  • Actively participate in all appropriate operations committees such as Energy Conservation Program Safety Committees and Recycling and Board of Operations meetings.
  • Oversee preventive maintenance programs.
  • Ensure all Four Seasons Residential Policies and Procedures are developed and implemented.
  • Assures that financial goals of the residential entity are being met.
  • Coordinate and supervise daytoday residential rental units maintenance routine operations and tasks ensuring the quality and standards meet the requirements of the Owners expectations. Liaise with Front of house team to secure availability of access to required residences to allow service maintenance to be performed.
  • Assist engineering management with planning and implementing of procedures systems and controls to ensure an efficient maintenance of residential units including a robust PRP program.
  • Lead residential budgeting process and annual meetings. Comprehend and present allocation methods budget process and financial reports with the assistance of the Director of Finance.
  • Works harmoniously and professionally with coworkers and supervisors.
  • Ensure that at all times that the Lead with Care Guidelines are followed.

Requirements:

  • Strong computer skills are required with experience in working with Opera centralized purchasing Ledger systems and Microsoft Excel.
  • Reading writing and oral proficiency in the English language. Knowledge of additional languages is a plus.
  • Strong business acumen the ability to multitask and coordinate the work of various departments is essential.
  • Excellent planning and organizational skills a high level of attention to detail.
  • Excellent people & team leadership skills.
