Conduct interviews for the junior positions of the Technology and Operations Departments and help with the recruitment process.
Support to send and receive the medical cards in addition to the claims and keep the medical insurance files up to date.
Coordinate with the IT department to handle the purchase of laptops for new employees, laptops maintenance and all office furniture required.
Responsible for the Data entry on the HR system for new employees and updating existing employeeâs information.
Prepare and follow up on the social insurance for all employees.
Receiving and file all required hiring documents of all employees.
Update the reports with the resigned employees, new hires, probation period and contracts renewals.
Handle the employeeâs transportation buses if any.
Responsible for requesting and updating existing and new employeeâs business cards.
Administration Role:
Will be the first focal point for all Dsquares visitors whether clients or candidates, this includes answering phone calls and welcoming visitors.
Booking flight tickets, hotels, and handling the per deem for any employee traveling abroad after checking the best available rate.
Track and replace office supplies as necessary to avoid interruptions in standard front office procedures this includes but not limited to Kitchen Supplies, Stationaries, hygiene, first aid kit, medicines kit and office safety.
Supervise members of the administrative staff (office helpers & Messengers) including vacations, leaves, work missions, uniform, performance appraisal and equally dividing responsibilities to improve performance.
Responsible for the employeeâs monthly breakfast including the caterer and managing the budget.
Booking meeting rooms, requesting catering if needed, and checking the rooms availability, required supplies for the meeting and sending meeting requests.
Receive/send packages from/to couriers.
Dealing and following up with the respective people from the building to schedule preventative maintenance and respond to urgent maintenance calls and any other issues.
Office Supplies for lucky: following up on the the office boys on the kitchen supplies to order missing items.
Conduct regular inspections on the facilities to ensure everything is up to standards.
Miscellaneous work missions visiting suppliers or vendors to check materials and quality.
