Job Summary
The HR Officer (Payroll & Administration) is responsible for ensuring the accurate and timely processing of payroll maintaining employee records supporting HR operations ensuring compliance with labour legislation and providing administrative support to facilitate the smooth running of the Human Resources function.

Responsibilities:
Payroll Administration
- Prepare process and administer monthly payroll accurately and within set deadlines.
- Capture and verify employee attendance overtime leave deductions allowances and benefits.
- Ensure statutory deductions and payments are correctly calculated and processed including PAYE NSSA ZIMDEF pension contributions and medical aid.
- Generate payroll reports and provide payroll-related information to management.
- Resolve payroll discrepancies and employee payroll queries promptly.
- Maintain payroll records and ensure confidentiality of employee information.
- Liaise with Finance regarding payroll reconciliations and salary payments.
Human Resources Administration
- Maintain accurate and up-to-date employee files and HR records.
- Prepare employment contracts confirmation letters disciplinary letters and other HR documentation.
- Coordinate employee onboarding and induction processes.
- Track employee leave absenteeism and attendance records.
- Assist with recruitment administration including scheduling interviews preparing offer letters and conducting reference checks.
- Support performance management processes and maintain relevant records.
- Assist in coordinating training and development activities.
- Ensure compliance with company policies and Zimbabwean labour legislation.
Employee Relations
- Provide first-line support on HR and payroll-related queries.
- Assist with disciplinary and grievance procedures.
- Support employee engagement initiatives and internal communication activities.
- Promote a positive workplace culture and maintain professional relationships with employees.
Administrative Support
- Manage HR correspondence filing systems and document control.
- Prepare HR reports statistics and management information as required.
- Monitor and order office and HR-related supplies when necessary.
- Support audits by preparing and providing required documentation.
- Assist with any additional administrative duties assigned by management.
Key Skills:
- Proven experience processing payroll for medium to large employee complements.
- Knowledge of Zimbabwe Labour Act and employment regulations.
- Experience with payroll software and HR information systems.
- Proficiency in Microsoft Office Suite particularly Excel.
Qualifications:
- Diploma or Degree in Human Resources Management Business Administration Industrial Psychology or a related field.
- Minimum 3 5 years experience in Human Resources and Payroll Administration.
