Job Summary

Job Title: Disbursement Controller
Department: Operations
Reports To: Copperbelt Operations Manager

Job Overview
Our client in the transport industry is looking for a detail-oriented and analytical Disbursement Controller to join their operations team. The successful candidate will be responsible for managing and controlling disbursement accounts identifying financial risks and ensuring accuracy and integrity across all disbursement-related transactions.

Key Responsibilities
  • Conduct daily review and control of disbursement accounts

  • Identify communicate and follow up on anomalies related to operational transactions

  • Investigate and resolve mis-postings double postings and discrepancies

  • Monitor and manage pending draft invoices ensuring timely processing and cleanup

  • Review and take action on orphan items within the system

  • Verify and validate credit note requests ensuring alignment with purchasing records

  • Maintain accurate documentation of month-end debit balances

  • Prepare and present reports on major disbursement queries and anomalies

  • Perform reconciliation between Pegasus and SUN disbursement balances

  • Analyse zero-balance files and determine appropriate closure or archiving actions

  • Ensure timely cleanup of disbursement files older than six months

  • Extract monitor and distribute reports on uninvoiced job files

  • Conduct pre-disbursement checks on all charges before posting

  • Manage petty cash in line with company policies

  • Prepare and submit weekly disbursement reports

  • Collaborate closely with the Head Office Disbursement Controller

Minimum Requirements
  • Grade 12 School Certificate

  • Minimum of 2 years experience in a similar role

  • Diploma in Accounting or progress toward CIMA ACCA or ZICA

  • Registered member of ZICA

Reporting Line
  • Reports directly to the Copperbelt Operations Manager

  • The role may require undertaking additional duties as assigned by management
