A rapidly growing technology startup is seeking a Workplace Coordinator to serve as the heartbeat of its Alameda office. About the Role
As the Workplace Coordinator you will be responsible for creating a seamless and engaging office experience for employees visitors and leadership. This role combines office management workplace operations event coordination vendor management and employee experience responsibilities. No two days will look the same and success in this role requires flexibility initiative and a willingness to jump in wherever needed.
This position is ideal for someone who enjoys being at the center of the action takes ownership of their work and is excited to contribute to the continued growth of a high-performing startup. The role will primarily be based in Alameda but requires flexibility to travel throughout the Bay Area to support various office team and workplace initiatives.
Key Responsibilities
- Oversee day-to-day office operations ensuring a productive organized and welcoming workplace environment
- Manage office supplies inventory vendors facilities requests and workplace budgets
- Coordinate with building management and external partners to address office needs and maintain a best-in-class employee experience
- Plan and execute team events offsites company celebrations lunches and employee engagement initiatives
- Support onboarding efforts by preparing workspaces coordinating equipment and ensuring new hires have an exceptional first-day experience
- Partner with People Operations and Leadership teams to support workplace programs and special projects
- Coordinate travel logistics and administrative support for meetings and company events as needed
- Assist with managing multiple office locations or shared workspaces throughout the Bay Area when required
- Troubleshoot workplace issues proactively and identify opportunities to improve processes and efficiencies
- Serve as a friendly and approachable resource for employees visitors and external partners
- 3 years of workplace office management facilities coordination hospitality or related experience
- Experience working in a fast-paced startup or high-growth environment strongly preferred
- Comfortable working onsite and traveling throughout the Bay Area when business needs require
- Highly organized with exceptional attention to detail and follow-through
- Self-starter who takes initiative and thrives with autonomy
- Strong relationship-building and communication skills
- Ability to manage multiple priorities and adapt quickly as needs evolve
- Customer-service mindset with a genuine passion for creating positive employee experiences
- Comfortable handling both strategic projects and hands-on operational tasks
- Proficient with modern workplace tools including Google Workspace Slack and related productivity platforms
