Job Summary
We are seeking a highly organized and proactive Virtual Personal Assistant to support daily operations for a real estate company. The ideal candidate will manage administrative tasks client communications scheduling marketing coordination and transaction support while helping maintain smooth business operations in a fast-paced real estate environment.
Key Responsibilities
- Manage calendars appointments property showings and meetings
- Respond to emails phone calls and client inquiries professionally
- Coordinate communication between agents clients lenders inspectors and title companies
- Maintain CRM systems and update client/property records
- Assist with real estate transaction paperwork and document management
- Prepare contracts listing documents and marketing materials
- Post and manage property listings on MLS and social media platforms
- Conduct online research and data entry tasks
- Organize digital files and maintain confidentiality of sensitive information
- Track deadlines follow-ups and transaction milestones
- Assist with lead generation and customer relationship management
- Support basic bookkeeping and expense tracking if required
Qualifications
- Previous experience as a virtual assistant administrative assistant or real estate assistant preferred
- Knowledge of real estate processes terminology and transactions is an advantage
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office Google Workspace and CRM software
- Familiarity with MLS platforms DocuSign Canva or real estate software is a plus
- Ability to work independently and meet deadlines
- High attention to detail and problem-solving skills
- Reliable internet connection and home office setup
