Job Summary

Job Description:

We are seeking a reliable and detail-oriented Virtual Assistant to provide administrative and operational support to our executive team and department managers. The ideal candidate is highly organized proactive and comfortable working in a fast-paced industrial business environment.

Key Responsibilities:

  • Manage executive calendars schedule meetings and coordinate appointments across multiple time zones
  • Handle email correspondence screen inquiries and draft professional responses on behalf of leadership
  • Prepare and format business documents reports purchase orders and presentations
  • Coordinate with suppliers customers and freight/logistics partners to support procurement and order fulfillment
  • Maintain and update CRM databases customer records and inventory tracking spreadsheets
  • Research raw material pricing industry trends and regulatory updates related to plastics manufacturing
  • Assist with invoicing basic bookkeeping tasks and expense reporting
  • Support trade show planning marketing coordination and social media scheduling
  • Organize and maintain digital filing systems for compliance documents safety data sheets (SDS) and quality certifications
  • Handle customer service inquiries escalate technical questions to the appropriate department and follow up to ensure resolution

Qualifications:

  • 1 years of experience as a virtual assistant executive assistant or in a similar administrative role
  • Strong proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint) and/or Google Workspace
  • Experience with project management tools such as Asana or Trello
  • Familiarity with ERP or order management systems is a plus
  • Excellent written and verbal English communication skills
  • Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously
  • Discretion and professionalism when handling confidential business information
  • Basic understanding of manufacturing supply chain or industrial business operations is preferred but not required
