A highly respected professional services firm is seeking an experienced Trust and Estate Administration Paralegal to join its growing team in either the New Jersey or New York office. This position offers an exciting opportunity for a detail-oriented and client-focused professional to work closely with attorneys clients financial advisors and accountants on sophisticated estate and trust administration matters.
The ideal candidate will have strong technical knowledge exceptional organizational abilities and the confidence to manage multiple matters simultaneously in a fast-paced environment. This role is well-suited for someone who enjoys meaningful client interaction analytical work and being an integral part of a collaborative trusts and estates practice.
Key Responsibilities:
Handle all phases of estate and trust administration from inception through final distribution
Assist with probate proceedings including New Jersey and New York probate matters
Prepare federal and state estate tax returns and fiduciary accountings
Coordinate the distribution of estate assets and trust funding processes
Communicate regularly with clients beneficiaries financial planners accountants and other advisors
Organize and maintain estate and trust administration files and documentation
Track deadlines filings and tax-related requirements to ensure timely completion of matters
Work closely with attorneys to support complex estate administration matters and related projects
Utilize estate administration and tax preparation software as part of the administration process
Qualifications:
Minimum of 5 years of trust and estate administration experience required
Knowledge of New Jersey and New York probate procedures strongly preferred
Strong mathematical analytical and problem-solving abilities
Excellent written and verbal communication skills with a professional and client service-oriented approach.
Highly organized with the ability to prioritize tasks and manage multiple deadlines effectively .
Team-oriented mindset with the ability to work independently when needed
Experience with ONESOURCE/Fast Tax Hot Docs and Microsoft Word strongly preferred
College degree and/or paralegal certificate required
JD/paralegal candidates will also be considered standards
Ability to identify analyze and resolve complex HR and employee relations matters effectively
Excellent interpersonal skills with the ability to build and maintain professional relationships with partners attorneys management and staff
Strong organizational skills with exceptional attention to detail and confidentiality
Excellent written and verbal communication skills
Proficiency with Microsoft Office and related business software applications
Broad understanding of professional services operations policies and workplace expectations preferred.
