Job Summary

As a Recruiting Coordinator you will play an essential role on our recruiting team. You will support recruiters as we guide candidates through the stages of the interview process. Specifically you will own interview scheduling candidate communications and recruiting logistics. This role is ideal for someone with attention to detail sense of urgency and a positive attitude which will enable you to create an exceptional experience for our candidates and hiring teams. You should be a self-motivated team player with a strong sense of ownership and insatiable curiosity.


What Youll Do

  • This role is focused on coordination and operations.

  • Own and maintain Ashby our ATS: Keep candidate records stages and pipeline data clean and accurate.

  • Build out new job postings in Ashby working with the recruiting team to ensure role details requirements and configurations are set up correctly.

  • Partner with the Recruiting Ops Specialist to build and maintain Ashby dashboards and reports helping the team track hiring metrics.

  • Support interview scheduling and logistics helping ensure candidates and interviewers have everything they need.

  • Audit pipeline data regularly flagging inconsistencies and ensuring the recruiting team has reliable up-to-date information.


Key Requirements

  • 2 years of experience in recruiting coordination or a related field or demonstrated transferable skills through prior work experience projects or leadership roles.

  • Prior ATS experience familiarity with Ashby is a bonus.

  • Proficiency in Google Workspace: Comfortable working in Gmail Google Calendar Sheets and Docs on a daily basis.

  • Strong AI skills and experience with AI scheduling tools.

  • Exceptional attention to detail: You notice when somethings off and take pride in keeping things accurate.

  • Must be able to work independently while coordinating complex scheduling across multiple stakeholders. Self-motivated highly organized and able to navigate scheduling processes with minimal guidance.

  • Strong written and verbal communications skills

Pay & Benefits

The pay range for this position will depend on your qualification and skills. This is a contractor position based in Palo Alto CA. The role is hybrid with an expectation of working on-site at least 3 days per week.
