Job Summary

Carter Psychology Center is seeking a highly organized and detail-driven Remote Records Coordinator to join our administrative operations this role you will oversee the maintenance processing and archiving of confidential patient charts psychological evaluation reports and practice files. Operating in a fully remote capacity you will ensure all health information management protocols comply strictly with HIPAA and legal standards while maintaining seamless digital file accessibility for clinical staff.

Key Responsibilities

  • Health Records Management: Retrieve organize index and digitize incoming patient documentation treatment histories and clinical assessment files within our Electronic Health Record (EHR) system.
  • Release of Information (ROI): Process formal medical records requests from patients legal representatives and insurance providers in accordance with state laws and HIPAA compliance guidelines.
  • Data Auditing & Archiving: Regularly audit active and inactive patient files for missing information correct digital indexing and manage secure record retention and destruction schedules through secure remote channels.
  • Interdepartmental Coordination: Serve as the primary administrative point of contact for clinical staff regarding chart updates record verification and document processing requests.
  • Privacy & Security Compliance: Enforce strict data security policies to safeguard Electronic Protected Health Information (ePHI) from a secure private home office space.

Qualifications & Requirements

  • Education: High School Diploma or equivalent required; degree or formal certification in Health Information Technology (HIT) or Healthcare Administration preferred.
  • Experience: 13 years of experience managing medical records health information or clinical documentation within a medical or psychological practice setting.
  • Technical Skills:
    • Proficiency with Electronic Health Record (EHR/EMR) software document management platforms and Microsoft Office Suite.
    • Demonstrated familiarity with medical records laws HIPAA regulations and Release of Information protocols.
    • Dedicated high-speed internet connectivity and a confidential remote workspace suitable for processing sensitive medical records.

    • Professional written and verbal communication skills.

Compensation & Work Structure

  • Schedule: Monday Friday standard business hours.
  • Environment: 100% remote position with digital orientation and team communications.
  • Compensation: Competitive hourly rate based on health records experience ($26.50 $29.00/hour).
