The Operations team is a key partner in enabling Biohubs pioneering work to combine frontier AI with frontier biology to solve disease and Learning Commons mission to build AI infrastructure that aligns how students learn with the tools that shape their learning experiences.

Operations includes our Central Tech Finance Marketing & Communications People and Real Estate / Workplace / Events / Facilities / Security (REWFS) teams. Together these teams create the systems programs and experiences that empower our partners and colleagues across Biohub and Learning Commons to drive impact.

This work requires strategic and operational rigor creativity and deep collaboration. Whether designing world-class employee experiences safeguarding data and infrastructure or shaping how we communicate our impact Operations plays a critical role in helping deliver meaningful change at scale.

Were looking for a Project Manager Marketing to help run how our team operates day to day. Youll manage the systems processes and workflows from intake and prioritization to project tracking that let us ship creative and production work efficiently at a high bar of quality and at scale. This role reports to the Marketing Operations Lead within the broader Marketing & Communications organization.

The ideal person for this role thinks in systems. You see a manual repeatable task and know how to build an AI-assisted workflow that makes it faster and more reliable. You bring real judgment about how a creative team should operate and youre comfortable working without a blueprint youll help figure out what processes the team needs and why then build them.

Systems & Process

• Build and maintain the systems intake project tracking approvals asset and file management that keep the team running
• Identify where AI can automate repetitive or manual work from intake triage to status reporting and build those workflows
• Document workflows and playbooks so processes scale beyond any one person

Project & Workflow Management

• Run day-to-day project management across the teams creative and production work: intake prioritization timelines and status tracking
• Spot bottlenecks before they become blockers and help redesign the process not just patch the symptom
• Keep multiple projects moving in parallel without letting details slip

Cross-Functional Coordination

• Serve as the point of contact for teams submitting creative and production requests
• Coordinate timelines and dependencies across creative content and partner teams
• Maintain dashboards and reporting on capacity and project status

Events

• Support logistics and planning for brand-related events activations or offsites as needed

• 5 years of experience in project management marketing operations or a similarly operational role ideally supporting a brand creative or communications function
• Proven experience building or deploying AI-powered tools or workflows that reduced manual work you can point to specific things youve built not just tools youve used
• Highly organized and detail-oriented; you catch the things others miss
• Self-motivated with strong follow-through; comfortable creating structure and process where none exists yet
• Collaborative and easy to work with across a range of stakeholders and working styles
• Strong written and verbal communication skills
• Comfort working with project management/collaboration tools (e.g. Notion Airtable Jira)
• Event planning or logistics experience is a plus

The Redwood City CA base pay range for a new hire in this role is $138000- $189200. New hires are typically hired into the lower portion of the range enabling employee growth in the range over time. Actual placement in range is based on job-related skills and experience as evaluated throughout the interview process.

This position may be eligible to participate in our discretionary annual performance bonus program. Bonus eligibility and targets are determined in accordance with our total rewards philosophy and may vary by role.

As we grow were excited to strengthen in-person connections and cultivate a collaborative team-oriented environment. This role is a hybrid position requiring you to be onsite for at least 60% of the working month approximately 3 days a week with specific in-office days determined by the teams manager. The exact schedule will be at the hiring managers discretion and communicated during the interview process.
