Big Bend Community College (BBCC) a rural college serving vibrant culturally rich communities in the Columbia Basin of Central Washington invites applications for a Event Services Program Assistant (INTERNAL) in the colleges ATECs Conference Center Conference Department.Under general supervision provides operational and administrative support to the Event Services Department. Assists with the preparation and execution of campus community and third-party events by performing assigned tasks providing customer service and helping ensure event details and spaces are ready and maintained.

Essential Job Duties

Responsibilities will include but will not be limited to the following:

  • Assist with planning coordination and execution of campus events.
  • Plan and coordinate daily event setups submit work orders and create setup diagrams.
  • Review event logistics for accuracy; address changes and issues as they arise.
  • Check room setups and event spaces; adjust as needed.
  • Provide on-site event support for multiple concurrent events at multiple locations across campus.
  • Serve as backup A/V support to Media Technician.
  • Operate and troubleshoot projectors microphones laptops and related equipment during live events.
  • Provide customer service support for phones email and in-person inquiries.
  • Communicate effectively during high-pressure real-time event situations.
  • Respond to questions regarding spaces and logistics for internal and external customers.
  • Collaborate with the Maintenance and Operations (M&0) Big Bend Technology (BBT) catering providers vendors and other campus departments.
  • Assist in building and maintaining vendor relationships.
  • Perform clerical duties (filing data entry phone calls and emails scheduling recordkeeping) with a high degree of accuracy.
  • Process contracts invoices vouchers and other administrative requests.
  • Assist with inventory of supplies and equipment.
  • Maintain services areas including kitchen and dishwashing responsibilities.
  • Work a flexible schedule (early mornings evenings weekends as needed).
OTHER WORK ACTIVITIES:
  • Follow safe work practices and policies including but not limited to security and safety fire disaster and safe lifting.
  • Maintain professional growth and development through seminars workshops and professional affiliations to keep abreast of latest trends in field of expertise.
  • Ensure self-compliance with college policies and procedures.
  • Conduct self in a professional manner and ensure personal appearance meets the standards necessary to perform the job function while representing the college.
  • Adapt to changing priorities and manage workload with frequent interruptions.
  • Perform other related duties and responsibilities as may be required.

Minimum & Desirable Qualifications

MINIMUM QUALIFICATIONS:

  • Two years of full-time clerical experience in an office setting.
  • Experience ordering and tracking office supplies materials and forms.
  • Experience using Microsoft Office Suite (Outlook Word Excel etc.) to effectively complete tasks.
  • Previous experience working with individuals from diverse academic socioeconomic cultural disability and ethnic backgrounds.
DESIRABLE QUALIFICATIONS:
  • Associates degree from a regionally accredited institution.
  • Experience with software applications such as PeopleSoft and other student information systems.
  • Bilingual Spanish/English proficiency.
