Position Overview

The Personal Assistant / Legal Secretary will provide comprehensive administrative and legal support to attorneys while managing day-to-day office responsibilities. The ideal candidate has extensive experience in a law firm setting is proficient with state and federal court filings and is comfortable managing multiple priorities while maintaining exceptional attention to detail.

Key Responsibilities

  • Provide administrative and executive support to attorneys.
  • Prepare proofread and format legal correspondence pleadings and other legal documents.
  • Prepare and electronically file documents in state and federal courts.
  • Maintain attorney calendars and coordinate meetings hearings depositions and appointments.
  • Schedule meetings and manage attorney travel and logistics as needed.
  • Prepare organize and maintain trial notebooks exhibits and case files.
  • Coordinate trial preparation and assist attorneys before and during trial.
  • Manage incoming calls emails and client communications professionally.
  • Organize and maintain physical and electronic client files.
  • Monitor deadlines and ensure timely completion of assigned tasks.
  • Communicate with clients opposing counsel court personnel and vendors.
  • Perform additional administrative and secretarial duties as assigned.

Required Qualifications

  • High school diploma or equivalent; associates or bachelors degree preferred.
  • 35 years of experience as a Legal Secretary Legal Assistant Executive Assistant or Personal Assistant in a law firm.
  • Experience with state and federal court filings.
  • Experience preparing trial notebooks and supporting trial preparation.
  • Strong calendar management and meeting scheduling experience.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office Suite Adobe Acrobat Outlook and legal document management systems.

Preferred Qualifications

  • Experience supporting litigation attorneys.
  • Familiarity with legal billing and time entry software.
  • Experience coordinating depositions mediations and court appearances.
  • Knowledge of California court rules and filing procedures.
