Schedule: Approximately 20 hours per week with the ability to work up to 29 hours per week based on organizational needs

Reports to: Director of People and Culture

The James River Association (JRA) is a nonprofit organization on a mission to protect the James River and connect people to it. JRA is excited to announce an opening for a People and Culture Coordinator.

This role will provide day-to-day administrative and operational support across JRAs People and Culture function including recruitment and onboarding employee records and systems compliance-related administration professional development and workplace culture and engagement. The Coordinator will help keep important processes paperwork data communications and smaller projects moving accurately and on time.

We are looking for a dependable highly organized self-starter who enjoys supporting people can work independently takes ownership of details and follow-through and is interested in growing their experience in human resources organizational culture impact and people operations.

Responsibilities

  • Provide day-to-day administrative support for People and Culture activities including employee paperwork personnel records data entry file maintenance tracking scheduling and routine correspondence.
  • Support recruitment and hiring through JazzHR including job postings applicant tracking candidate communications interview scheduling hiring documentation and recruitment records.
  • Coordinate new hire onboarding and employee transitions including background checks employment documentation onboarding schedules checklists system updates and follow-up with employees and People Leaders.
  • Maintain accurate employee information and People and Culture records in Paychex JazzHR Google Drive spreadsheets and other systems and assist with regular audits and compliance tracking.
  • Support recurring People Operations processes including benefit and eligibility tracking performance evaluations PDP administration employee status changes offboarding workforce reporting and other compliance-related activities.
  • Coordinate smaller People and Culture projects from start to finish maintaining timelines organizing materials following up on action items and communicating updates as needed.
  • Support employee experience and workplace culture initiatives including All Staff Meetings Spot Awards Catalyst Crew staff surveys Stay Interviews professional development recognition and employee events.
  • Assist the Director of People and Culture with additional priorities research communications reporting and administrative needs across the employee lifecycle

Qualifications

  • Previous experience in human resources people operations office administration recruitment nonprofit operations or a related support role.
  • Highly organized and detail-oriented with strong follow-through and the ability to manage multiple recurring tasks and deadlines.
  • Demonstrated ability to work independently identify next steps and take ownership of assigned responsibilities.
  • Strong written verbal and interpersonal communication skills with a service-oriented and people-centered approach.
  • Sound judgment and the ability to handle confidential employee and organizational information appropriately.
  • Comfortable working with data spreadsheets digital systems paperwork and administrative processes.

Requirements

  • Ability to work approximately 20 hours per week with flexibility to work up to 29 hours per week based on organizational needs.
  • Regular availability during JRAs typical business hours generally 9 a.m. to 5 p.m.
  • Ability to work independently in a hybrid environment while maintaining consistent communication and follow-through.
  • Regular in-person availability at JRAs Richmond office.
  • Proficiency with Google Workspace or similar office productivity tools and willingness to learn new HR and administrative systems.
  • Strong attention to accuracy when entering reviewing maintaining and reporting employee information.
  • Ability to prioritize routine responsibilities while responding to changing needs and time-sensitive requests.
  • Occasional travel or participation in JRA staff meetings events or activities throughout the James River watershed.

Preferred Skills and Experience

  • One to three years of experience supporting human resources People Operations recruitment employee administration or a similar function.
  • Experience with HRIS payroll applicant tracking or employee recordkeeping systems.
  • Familiarity with Paychex JazzHR Google Workspace Canva or similar platforms.
  • Experience supporting onboarding benefits administration employee records compliance tracking or performance management processes.
  • Experience coordinating employee engagement recognition learning meetings or workplace culture initiatives.
  • Interest in developing a career in human resources People Operations employee experience or nonprofit administration.

The hourly range for this part-time position is $20$25 per hour depending on experience and qualifications. This role offers hands-on experience across People Operations talent acquisition employee experience organizational culture and nonprofit administration in a flexible hybrid work environment.
