Job Description:
We are seeking a dependable and detail-oriented Payroll & Front Office Coordinator to support payroll administration and daily office operations. This position serves as the first point of contact for visitors and callers while also assisting with employee timekeeping payroll records data entry and general administrative tasks.
The ideal candidate is organized professional comfortable handling confidential information and able to manage multiple responsibilities in a busy office environment.
Responsibilities Payroll Support
Collect review and enter employee timekeeping information for payroll processing.
Verify timesheets for accuracy missing information and proper approvals.
Assist with payroll preparation basic reconciliations and record maintenance.
Research and help resolve payroll-related questions in coordination with management.
Maintain accurate employee payroll files and supporting documentation.
Update employee information pay-rate changes deductions and other payroll data as directed.
Support payroll reporting and year-end administrative tasks when needed.
Maintain confidentiality of employee compensation and personal information.
Reception and Customer Service
Welcome visitors and provide courteous assistance upon arrival.
Answer screen and route calls using a multi-line phone system.
Take accurate messages and ensure timely follow-up.
Respond professionally to general inquiries from employees clients vendors and callers.
Maintain a clean organized and professional reception area.
Coordinate incoming and outgoing mail packages and deliveries.
Administrative Support
Perform general clerical duties including filing scanning copying and document preparation.
Maintain organized electronic and paper records.
Enter and update employee client vendor and company information in internal systems.
Prepare routine correspondence spreadsheets reports and office documents.
Assist with scheduling office supplies and other administrative projects.
Support managers and internal departments with day-to-day office needs.
Help identify and resolve administrative issues that could affect office efficiency.
Qualifications
High school diploma or equivalent.
Previous experience in reception payroll support office administration bookkeeping or a related role.
Strong customer service and communication skills.
Professional phone etiquette and experience handling multiple phone lines.
Accurate data-entry and recordkeeping abilities.
Strong attention to detail organization and time management.
Ability to manage several priorities and meet recurring deadlines.
Proficiency with email word-processing and spreadsheet software.
Ability to handle confidential employee and company information with discretion.
