Job Summary

Lincoln Sudbury Regional High School is looking for an Administrative Assistant to support the LS METCO Director and LS METCO program.

Duties and Responsibilities (not limited to)

  • Assist with keeping LS METCO offices organized and productive
  • Maintain integrity of all ASPEN / student database information
  • Maintain confidentiality at all times
  • Engage with Boston students and caregivers via phone email etc.
  • Create Requisitions / Purchase Orders for LS METCO Program
  • Monitor LS METCO budget (weekly & monthly spending)
  • Assist LS METCO staff with coordination and scheduling of events and transportation needs
  • Serve as liaison to LS METCO staff designee and LS METCO Parent Council rep on a biweekly basis
  • Serve as liaison to LS METCO staff designee and LS METCO Student Leadership Council on a biweekly basis
  • Coordinate updates/newsletter for LS METCO families and Friends of LS METCO
  • Assisting with ad-hoc requests / projects as needed to support LS METCO Director
  • Scheduling and Managing LS METCO Directors calendar and meetings
  • Ordering supplies for LS METCO space student supplies and LS METCO program
  • Work closely with all house assistants / support staff in regards to the LS METCO program and student needs
  • Assist with needs for all activities related to LS METCO
  • Conference planning / Professional Development for LS METCO Director and staff
  • Provides needed information and support in regards to LS METCO to the Superintendent-Principal and LSRSD School Committee as needed
  • Contracts for events speakers field trips and conferences. Processing requests for payment and follow through to make sure invoices are paid documented and completed
  • Keeping records for each student in the LS METCO Program
  • Maintaining updated roster for all LS METCO students with updated bus contracts and contact information
  • Maintain awareness of emergency procedures
  • Assist with scheduling and admissions / enrollment process and outreach

Qualifications/Skills

  • High School diploma Associates Degree preferred
  • Excellence organization skills

  • Demonstrate appropriate telephone etiquette
  • Ability to work in a multi-task environment
  • Meticulous attention to detail for managing schedules files records (especially student records) and coordinating logistics (e.g. transportation events)
  • Ability to prioritize tasks meet deadlines and efficiently handle multiple responsibilities simultaneously in a fast-paced environment.
  • Excellent written skills for professional correspondence reports and memos as well as clear professional verbal communication.
  • Ability to establish and maintain positive harmonious working relationships with students parents administrators and the general public.

Experience

  • Previous successful experience in an administrative or office management role is essential. Experience within a public school district non-profit or program working with diverse student populations is highly valuable.
  • Experience with general office procedures managing communication (phones email) and inventory.
  • Expertise in Google Workspace (Sheets Documents Forms etc.) and data entry/database management for tracking student progress and program statistics.

Salary Range

  • $30.85/Hour - $41.24/Hour
