Job Summary

We are seeking a friendly organized and professional Front Desk Receptionist to be the first point of contact for clients agents and visitors at our real estate office. This role is essential to creating a welcoming environment and ensuring smooth day-to-day office operations.

Key Responsibilities:

  • Greet and welcome clients visitors and agents in a warm and professional manner
  • Answer and direct incoming phone calls emails and inquiries promptly
  • Schedule and coordinate appointments property showings and meetings for agents
  • Maintain and update client and property databases (CRM systems)
  • Prepare sort and distribute correspondence contracts and documents
  • Assist with listing coordination uploading property info photos and marketing materials
  • Handle incoming and outgoing mail packages and deliveries
  • Manage office supplies inventory and place orders as needed
  • Support agents and management with administrative tasks as requested
  • Ensure the front desk and lobby area are clean organized and presentable at all times

Qualifications:

  • High school diploma or equivalent required
  • 12 years of receptionist administrative or customer service experience (real estate industry a plus)
  • Proficiency in Microsoft Office Suite (Word Excel Outlook) and Google Workspace
  • Experience with real estate software (MLS Dotloop Skyslope or similar) is a bonus
  • Excellent verbal and written communication skills
  • Strong organizational skills with the ability to multitask in a fast-paced environment
  • Professional appearance and a positive client-first attitude
