Job Summary

Distribution & 401k Support Specialist

The Distribution & 401(k) Support Specialist is a dual-function position responsible for supporting the Companys distribution and receiving activities while providing administrative project data and electronic file support for the 401(k) business. The Distribution function is responsible for receiving organizing storing preparing and distributing Company and client materials mail supplies packages and other physical items. The position helps ensure accurate timely and efficient handling of incoming and outgoing materials. The 401(k) support function provides administrative and technical assistance related to electronic data files EDI processing client and internal projects data validation system processes reporting and other activities supporting 401(k) operations. This position works closely with internal teams and other business partners to ensure assigned work is completed accurately and timely. The position requires strong organization attention to detail follow-through confidentiality and the ability to manage competing priorities across both functional areas.

What Youll Do as a Distribution & 401k Specialist at Ahola

  • Receive sort organize and distribute incoming mail packages supplies client materials and other items to appropriate employees departments locations or clients.
  • Prepare and process outgoing mail shipments packages and Company mailings ensuring accuracy of addresses labels quantities and other required information.
  • Maintain organized distribution receiving and storage areas and monitor inventory of commonly used supplies.
  • Assist with ordering receiving stocking and distributing office and operational supplies.
  • Coordinate shipments with carriers and assist with resolving routine shipping and receiving issues.
  • Process and monitor 401(k) payroll files EDI files system imports and exports and other electronic data according to established procedures and deadlines.
  • Review data and files for completeness and accuracy; identify research and assist with resolving errors discrepancies rejected records and other processing issues.
  • Assist with data audits reconciliations quality-control reviews reporting and validation activities to support data integrity.
  • Provide administrative and technical support for 401(k) projects

The Experience Youll Need

  • High school diploma or equivalent and prior experience in an administrative distribution receiving data processing benefits retirement plan payroll or related environment.

  • Strong organizational time-management problem-solving and follow-through skills with a high level of attention to detail and accuracy.
  • Ability to manage multiple priorities meet deadlines and work independently and collaboratively.
  • Strong written and verbal communication and customer service skills.
  • Proficiency with Microsoft Office particularly Outlook and Excel and the ability to learn and effectively use Company systems and technology.
  • Ability to maintain confidentiality and appropriately handle sensitive employee participant client and Company information.
  • Experience with 401(k) administration EDI electronic file processing payroll files data audits reconciliations or project support is preferred.
  • Ability to lift carry push or pull packages supplies and other materials associated with distribution and receiving activities.
