We are seeking a highly organized and detail-oriented Data Entry / Operations Assistant to support our daily manufacturing and operational this role you will be responsible for accurately entering and managing production inventory order and vendor data while providing broad administrative support to the Operations team. The ideal candidate thrives in a fast-paced industrial environment is proficient with data systems and takes pride in accuracy and efficiency.
Key Responsibilities:
Enter and maintain accurate production data including daily output machine run times material usage scrap rates and quality inspection results
Input and update customer orders purchase orders work orders and inventory transactions into the companys ERP system
Verify and cross-check data entries for accuracy completeness and consistency across all operational systems
Maintain and organize digital and physical records including vendor files material certifications safety data sheets (SDS) and compliance documentation
Perform regular data audits and cleanup to ensure database integrity and accuracy
Generate and distribute daily weekly and monthly operational reports to supervisors and management
Operations Support:
Assist the Operations Manager and production supervisors with scheduling workflow coordination and administrative tasks
Track and monitor inventory levels raw material stock and finished goods; alert purchasing when reorder points are reached
Coordinate with the shipping and receiving department to log inbound and outbound shipments update tracking information and resolve discrepancies
Support the procurement process by entering purchase orders tracking vendor deliveries and maintaining supplier records
Assist with production planning by updating job schedules work orders and capacity tracking spreadsheets
Communicate with internal departments including sales quality finance and warehouse to gather and relay operational information
Help prepare documentation for customer orders certifications of conformance and shipping packets
Support continuous improvement initiatives by tracking KPIs downtime logs and waste reduction metrics
Assist management with special projects presentations and operational audits as needed
Qualifications:
High school diploma or GED required
13 years of experience in data entry administrative support or operations assistance preferably in a manufacturing or industrial setting
Proficiency in Microsoft Office Suite particularly Excel (pivot tables VLOOKUP data sorting) Word and Outlook
Experience with ERP or manufacturing software such as SAP Oracle NetSuite JobBOSS or similar platforms preferred
Strong attention to detail with a high degree of accuracy in data entry (minimum 4555 WPM typing speed)
Excellent organizational and time management skills with the ability to handle multiple priorities simultaneously
Good written and verbal communication skills for coordinating across departments
Ability to work independently with minimal supervision in a structured manufacturing environment
Basic understanding of manufacturing or supply chain processes is a plus
