Position Summary:
GLIDEsFacilities AssistantManagersupportsboththeDirector of Facilities andOperationsandtheSenior OperationsManagertocoordinatethemaintenance cleanliness andconstructionoffacilitiesupkeepgroundsand equipmentmaintaina welcomingclean safe and upbeatenvironmentthroughout all Glidelocations and actively managestheZendesk queues/staff dispatchto ensureexcellent person workswith the operations management team tohelp planbudgetand schedule facility modificationsand to ensurecompliance with government health and safety standards atallGLIDE facilities.
TheFacilitiesAssistantManageris considered a first responder in the case of emergency/disasterand mustrespond to urgent person must be willing and able to periodically work non-traditional hours (nightsholidaysand weekends).

Essential Duties and Responsibilities

  • Oversees the work oftwo -threebuilding maintenance technicians and janitors which cover services across all GLIDE properties.
  • You will organizemonitorand supervise facility maintenanceoperationsand staff.
  • Ensure all GLIDEs building systems including heating and ventilation electrical plumbing off-site storage janitorial services wastedisposaland recycling etc. are operational and in compliance with all regulatorystandards.
  • Plan prioritize assign supervise review andparticipatehands-onin the work of staff responsible for facilities cleanliness andmaintenance.
  • Coordinate with contractors in providing contract the preparation of various contracts requests for proposals andreports.
  • Identifyissues options and recommendations tomaintainGlides facilities in the most cost-effective manner.
  • Research and recommend solutions; research and recommend vendors; obtain3competitivebidsas a routine habit whensolicitingvendors for work at Glide.
  • Coordinate all workwithstrategic plan priorities departmental priorities andaffected staff;ensuretimelycommunication of any disruption to GLIDE services as well as proactive problem-solving.
  • Ensure work by staff/contractors has been completed satisfactorily. Follow-upon issues/problems.
  • Monitor and control supplies and equipment. Order supplies and tools asnecessary;stock inventory; manage warehouseand all storage including storage and supply closets across the Glide campus.
  • Assistwith addressingall environmental issues to ensure health and safety and minimize liability.Help ensure buildings and facilities staff compliance with government health and safetystandards.
  • Help drivethedevelopment of goals andobjectivesfor maintenance technicians;participatein the development ofpolicies and procedures for the department.Assistwithrecommendations for changes and improvements to existing standards policies andprocedures.
  • Contribute to andassistinmaintainingGLIDEspreventive and deferredmaintenanceprogramsand Facilities OperationsManual andhelpmonitorcompliance withboth.
  • Liaise withstaff at all locations to assistin thecoordination ofcontracts planningand prioritization ofcapital projects and alignment ofgoals anddeadlines;use the meeting invitation system to schedule meetings and check-ins withappropriate notice.
  • Assistwith the processing ofinvoices andparticipatein the preparation and administration of the facility maintenance budget. Offer budget recommendations and justifications forequipment.
  • Drivethe facilities ticketing system; ensure facilities staff recordtrackand document service requests. Review operational reports to ensurethe departmentmeetsgoals.
  • Assistin themaintenanceofGLIDEs Fleet and theFleet Safety Programtoprevent injury vehicle liability and physical damage.
  • Meet professional obligations through efficient work habitssuch asadhering towork schedulesand project timelinesmeeting deadlineshonoring agreementsattendingand activelyparticipatingin staff and individual meetingstrainingand workshops.
  • Maintain a clean and orderly work environment free of food clutter or strong scents.
  • Present oneself with professionalism including speaking clearly making eye contact and treating colleagues with courtesy.
  • Other dutiesassigned to support Glides Operations.

Minimum Qualifications

  • Hands-onexpertisein at least one area of building trades and/or construction.
  • Excellent analyticalandproblem-solvingskills. Ability to look at a lot of different information and make decisions based on needs and budgetconcerns.
  • Attention to Detail. Quality control is a large part of the job. Making sure cleaningupkeepand safety standards aremaintained or efficiencies are discovered iskey.
  • Adaptableadapts to changes in the work environment manages competing demands andis able todeal with frequent changedelaysor unexpectedevents.
  • Ability to manage multiple priorities and meet established schedules and deadlines. Prioritizes and plans work activities and uses time efficiently.
  • Excellent interpersonaland verbalskillsandiseffectiveworkingacross all cultures.
  • Demonstrated ability to work well under pressure and manage stress effectively in a demanding and fast pacedenvironment.
  • Outstanding verbal communication skills are essential including the ability to deal with a wide variety of callersclientsand staff.
  • Strong written communication skills.Mustbe able to write clearly and concisely.Proficiencyin grammar and spelling.
  • Ability to presentissues options andrecommendationsin a concise and efficient manner.
  • Ability to direct the work of others bygenerating standardsupervisory tools including project plans punch lists check lists and performance reviews.

Education and/or Experience

  • High School Diploma/GEDand3 years progressively responsible related experience in management of facilities or any equivalent combination of educationexperienceand training.
  • Experience managing all aspects of large buildings and related systems and equipment to include: strong knowledge of the diverse trades skills and building codes necessary to maintain and improve building facilities and functionsworking with projects that require specialized knowledge of engineering drawings and designs safety functions and applicable building codes managing and administering preventive anddeferredmaintenance programs managing building emergencies managing the financial aspects of a variety of contracts and supervising staff;
  • Strong knowledge of safety procedures and legal requirements. Familiarity with ADAissues.
  • AED CPR First Aid and NERT traineddesired.

Physical Requirements

  • The demandsfor this role require a lot ofstanding and walking stamina and a high energy level areessential;
  • Vision/ Hearingcorrected in normalrange.
  • Ability to use standard office equipment and access input and retrieve information from a computer. Ability to usecomputerkeyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time.
  • Mustpossessthe strengthstaminaand mobility to stand and walk(4hours) come and go from the work arearepeatedly andclimb multiple flights of stairsrepeatedlyin a givenshift. Able to move about. Able to move quickly to addressemergenciesor potentially dangeroussituations.
  • Ability to perform physical activities that require considerable use of arms and legs and moving the whole body such as lifting balancing stooping and handling ofmaterials.
  • Trunk Strength.Has the ability to use abdominal and lower back muscles to support part of the body repeatedly or continuously over time without giving out orfatiguing.
  • Uses hands and arms to handle install position move materials and manipulatethings;
  • Mustpossessthe ability toindependently and safely lift and move materials and equipment weighing up to 50 pounds and heavier weights with the use of proper equipment orassistancefrom other employees.
  • Ability to work on a computer and see details of objects atcloserange.
  • Ability to hear within normal range and communicate effectively (in person telephone orzoom).
  • Finger dexterity and the ability to use all standard office equipment.
  • Sit or standcomfortably;and the ability to navigate throughout office spaces (via elevator or stairs).
$70304 - $70304 a year
This is a full-time (40 hour/week) Exempt position.
Work Environment
GLIDEs buildings are located in the Tenderloin maintains an open door policy to the community and its clients who frequently enter and leave the building.
