Position Summary

Rehmann is searching for an Accounting Assistant for our client in the southwest Florida area. Our client isseeking a detail-oriented and organized Accounting Assistant to support our accounting and administrative operations. This position is responsible for accurately entering and maintaining financial and job-related data assisting with payroll processing tracking project costs and supporting the accounting team with day-to-day administrative functions.

This role is ideal for someone pursuing a career in accounting bookkeeping finance or business administration and looking to gain hands-on experience in the construction industry.

Essential Responsibilities

  • Enter customer invoices vendor bills payments and deposits into accounting software.
  • Process customer payments and maintain accurate accounts receivable records.
  • Record and track checks electronic payments and bank transactions.
  • Assist with contract entry and maintenance ensuring documentation is complete and organized.
  • Enter employee payroll information and verify payroll data for accuracy.
  • Review and enter employee timesheets.
  • Assist with job costing by allocating labor hours payroll costs materials and other expenses to specific projects.
  • Maintain accurate accounting records and filing systems both electronic and physical.
  • Assist with account reconciliations and data verification.
  • Generate reports and spreadsheets as requested by management.
  • Support month-end and year-end accounting activities.
  • Communicate with customers vendors and employees regarding documentation and payment information as needed.
  • Perform general administrative and accounting duties assigned by management.

Qualifications

  • High school diploma required; Associates degree or coursework in Accounting Finance or Business preferred.
  • Previous bookkeeping accounting administrative or data entry experience is a plus.
  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Excel Word and Outlook.
  • Ability to learn accounting and payroll software quickly.
  • Strong organizational and time management skills.
  • Ability to maintain confidentiality of financial and employee information.
  • Excellent written and verbal communication skills.
  • Construction industry experience is a plus but not required.

Preferred Skills

  • Experience with QuickBooks or other accounting software.
  • Understanding of payroll processing and job costing concepts.
  • Familiarity with construction accounting practices.
  • Strong numerical and analytical skills.

Physical Requirements

  • Ability to sit and work at a computer for extended periods.
  • Occasionally lift and carry office materials up to 20 pounds.
