Job Summary

Our client is currently recruiting aReceptionist to be responsible for managing the front-of-house function ensuring visitors receive a professional welcome while providing efficient administrative support to the business. This role requires excellent communication skills strong organisational abilities and the capacity to multitask in a fast-paced environment.

Key Responsibilities:

  • Greet and welcome all visitors clients and suppliers in a professional and friendly manner.
  • Manage a busy multi-line switchboard directing calls accurately and efficiently.
  • Take and relay messages promptly and professionally.
  • Coordinate incoming and outgoing courier deliveries and collections.
  • Manage meeting room bookings ensuring rooms are prepared clean and equipped for meetings.
  • Facilitate guest arrivals by notifying relevant staff offering refreshments where required and ensuring a positive visitor experience.
  • Receive sort and distribute incoming mail and deliveries.
  • Maintain reception and waiting areas to a high professional standard.
  • Provide general administrative support including filing scanning data capturing document preparation and photocopying.
  • Assist with overflow administrative tasks from various departments as required.
  • Monitor and order reception and office consumables when necessary.
  • Ensure adherence to company security and visitor sign-in procedures.
  • Perform any other reasonable administrative duties as requested by management.

Personal Attributes:

  • Grade 12 (Matric).
  • 23 years experience in a busy receptionist or front desk role.
  • Experience operating a busy switchboard.
  • Previous experience coordinating courier services.
  • Proficient in Microsoft Office (Word Outlook Excel).
  • Excellent verbal and written communication skills.
  • Strong organisational and time management skills.
  • Professional appearance and telephone etiquette.
  • Ability to multitask and work effectively under pressure.
