Job Summary

Our client a leading travel and tourism company is seeking an experienced Packaging Travel Consultant to join their team in Cape Town. The successful candidate will have a minimum of three years experience in inbound or package travel with proven expertise in designing costing and quoting tailor-made FIT and group itineraries. Strong knowledge of Southern African destinations tourism products and travel experiences along with experience working with overseas tour operators and international trade partners is essential. The ideal candidate will have excellent communication negotiation and organisational skills strong attention to detail and the ability to manage multiple quotations in a fast-paced environment.

REQUIREMENTS:
  • Minimum of 3 years experience as an Inbound Tour Consultant or Package Consultant.
  • Previous experience working with overseas tour operators and international travel trade partners.
  • Proven experience in designing costing and quoting tailor-made FIT and/or group travel itineraries.
  • Strong knowledge of Southern African destinations tourism products accommodation transport and travel experiences.
  • Experience preparing quotations for online travel agent (OTA) platforms and trade websites.
  • Commercially minded with strong numerical skills and exceptional attention to detail.
  • Excellent negotiation communication and relationship management skills.
  • Strong organisational and time management skills with the ability to manage multiple quotations and meet deadlines in a fast-paced environment.
  • Proficient in Microsoft Office (Word Excel and Outlook) and comfortable using reservation and quotation systems.
  • Excellent written and verbal communication skills in English.
  • Professional client-focused approach with the ability to build and maintain long-term client relationships.

DUTIES:

Key Responsibilities & Performance Areas:
  • Create cost and quote tailor-made travel packages for overseas tour operators across Southern Africa for their websites and other sales platforms.
  • Create cost and quote tailor-made travel packages for the companys website sales team and marketing initiatives.
  • Prepare accurate competitive and profitable quotations within agreed turnaround times.
  • Design creative client-focused itineraries that meet budget market and operational requirements.
  • Ensure all quotations are accurately costed commercially viable and aligned with company pricing and margin requirements.
  • Source suitable accommodation transport activities and ancillary services from preferred suppliers.
  • Provide specialist destination knowledge and exceptional service to overseas tour operators and trade partners.
  • Negotiate effectively with suppliers to secure competitive rates value-added services and availability.
  • Build and maintain strong supplier relationships across Southern Africa to ensure access to high-quality products and competitive pricing.
  • Stay up to date with new products destinations supplier offerings seasonal promotions and market trends across Southern Africa.
  • Follow up on quotations to maximize conversion rates and support business growth.
  • Maintain accurate records of packages quotations and product information for different overseas tour operators and source markets.
  • Liaise with Reservations Operations and Contracting teams to ensure quotation requirements are accurately interpreted and priced.
  • Provide professional efficient and timely communication via email telephone and other communication platforms.
  • Resolve quotation supplier and client queries promptly and professionally.
  • Consistently deliver a high standard of customer service and client satisfaction.
  • Achieve agreed productivity conversion quality and service-level targets.
  • Work collaboratively within the team and contribute to departmental and company objectives.
  • Adhere to company policies standard operating procedures and quality assurance standards.
  • Consider seasonal factors travel times and logistics when designing itineraries.

Pricing and Costing:
  • Accurately calculate package costs using contracted rates negotiated offers and company pricing structures including supplier negotiations where appropriate.
  • Verify all calculations margins and package pricing before issuing quotations to agents.
  • Ensure all quotations meet company profitability and margin requirements.

Attention to Detail:
  • Conduct detailed quality checks on every package quotation to ensure accuracy of pricing travel dates inclusions exclusions and routing.
  • Ensure all package components are correctly reflected in quotations.
  • Monitor and communicate supplier rate increases or pricing changes after quotations have been issued where applicable (e.g. fuel surcharges park fee increases or supplier rate amendments) ensuring agents are informed promptly and quotations remain accurate.

Productivity:
  • Manage a high volume of package quotations while consistently maintaining exceptional quality and turnaround times.
  • Set clear expectations with agents by communicating expected turnaround times providing progress updates where necessary and advising of any unforeseen delays.
  • Prioritize urgent requests and manage multiple deadlines effectively.
