Key Responsibilities
Primary Responsibilities
- Monitor incoming client emails and respond where appropriate in a timely manner.
- Ensure all reported issues are supported by photographic evidence to validate the request.
- Verify that each issue falls within the 12-month defect liability period and is not a duplicate complaint for the same property.
- Log all validated issues on Procore and assign them to the appropriate subcontractor for the relevant project.
- Maintain and update the master Excel tracker to ensure alignment with Procore records.
Follow-Up & Notifications
- Implement a follow-up system to track subcontractor engagement.
- If no response or action is taken within two weeks notify the Quantity Surveyor (QS) to review reassign or escalate as needed.
- Ensure tasks are correctly delegated particularly on projects involving multiple subcontractors.
Additional Considerations
- Some subcontractors (e.g. Munster Joinery) do not operate via Procore in line with contractual agreements and require updates to be shared through a separate Excel tracker.
- This requires maintaining parallel records ensuring both Procore and external tracking sheets are accurate and up to date.
