Key Responsibilities

  • Coordinate and arrange meetings with internal and external stakeholders
  • Assist in scheduling and coordinating team events and activities
  • Handle travel arrangements
  • Maintain an organised electronic document filing system to ensure ease of access
  • Support and facilitate all communication within the team regarding administrative and operational matters.
  • Provide administrative and logistics support to the team
  • Manage office supplies and inventory
  • Manage procurement requests coordinate with suppliers and stakeholders on delivery matters
  • Manage expense records and claims
  • Process incoming purchase orders track customer delivery milestones and handle invoicing matters
  • Coordinate security clearance for guests
  • Coordinate Customer/internal events including if applicable accommodation catering venue and equipment arrangements
  • Support on and off boarding of new team members
  • Perform ad hoc duties assigned by the management

Qualifications and skills

  • Bachelors degree or equivalent.
  • 5 years of experience supporting high-level executives.
  • Service-oriented team player with exceptional interpersonal skills and ability to build and foster relationships
  • Strong organising skills with ability to work within constrains and simplify tasks
  • Independent self-motivator and adaptable
  • Detail oriented and problem solver
