Job Summary

We are recruiting an experienced Office Manager for an international law firm operating two offices in Saudi Arabia.

The Office Manager will oversee the daily administration HR coordination procurement facilities and support services across both offices. The successful candidate will also provide high-level administrative support to the Managing Partners and Senior Partners.

Key Responsibilities
  • Manage the daily operations of both offices and ensure they run smoothly and professionally.
  • Supervise receptionists administrative employees drivers and other support staff.
  • Allocate work monitor performance and ensure proper coverage across the two offices.
  • Provide administrative and coordination support to the Managing Partners and Senior Partners.
  • Manage calendars meetings business travel and important office arrangements when required.
  • Coordinate employee onboarding offboarding attendance leave records and general HR administration.
  • Support HR processes through the relevant Saudi government platforms where required.
  • Manage office supplies equipment purchasing requests and supplier relationships.
  • Negotiate with vendors and monitor service agreements costs and renewal dates.
  • Coordinate office maintenance cleaning security IT support and other facility requirements.
  • Monitor office expenses petty cash and the administration budget.
  • Support invoice processing expense claims and coordination with the Finance team.
  • Organize internal meetings client visits office events and business functions.
  • Maintain confidential employee client and company records.
  • Ensure office procedures follow company policies and applicable Saudi regulations.
  • Coordinate with the firms regional and international HR Finance IT and Operations teams.


Requirements
To be considered for this role you need to meet the following criteria:

  • Saudi national.
  • Bachelors degree in Business Administration Human Resources Management or a related field.
  • At least 5 years of experience in office management administration or business support.
  • Previous experience in a law firm is strongly preferred.
  • Candidates from an international professional services firm or multinational organization may also be considered.
  • Experience managing support staff and office service providers.
  • Good knowledge of HR administration procurement facilities and general office operations.
  • Experience supporting Managing Partners Senior Partners or senior executives is preferred.
  • Fluent in Arabic and English both written and spoken.
  • Good working knowledge of Microsoft Word Excel PowerPoint and Outlook.
  • Highly organized professional and able to handle confidential information.
  • Able to manage several priorities and meet tight deadlines.
  • Proactive practical and comfortable working independently.
  • Able to remain calm and effective in a busy fast-paced environment.
  • Willing and able to support the operations of two offices in Saudi Arabia.
