Job Summary:
The Field Coordinator plays a critical role in ensuring efficient scheduling dispatching certification calibration and compliance of equipment for solids control operations. This position is responsible for coordinating with field teams clients and internal stakeholders to ensure all equipment tools lifting accessories and calibrated instruments are properly certified calibrated fit for purpose and available prior to deployment. The coordinator monitors certification and calibration validity maintains compliance records and ensures the correct tools and equipment are utilized in accordance with company client and regulatory requirements. Additionally the role coordinates inspection testing calibration and recertification activities to ensure equipment integrity operational readiness and compliance with industry standards.
Key Responsibilities:
- Certification Management
- Ensure all equipment tools lifting gear and accessories maintain valid certifications in accordance with company client and regulatory requirements.
- Verify certification status and documentation prior to equipment mobilization and dispatch.
- Maintain an accurate certification register and tracking system for all operational assets.
- Monitor certification expiry dates and coordinate timely renewal recertification and testing activities.
- Liaise with approved third-party certification bodies to arrange inspections testing and certification services.
- Ensure certification records are complete current and readily available for client review and audits.
Coordinate the calibration of measuring monitoring and testing equipment in accordance with manufacturer recommendations and applicable standards.
2. Calibration Management
- Maintain a calibration tracking system to monitor due dates and calibration validity.
- Schedule and coordinate calibration activities with approved service providers to ensure continuous compliance.
- Verify calibration certificates and maintain calibration records for all applicable equipment and instruments.
- Ensure equipment with expired or invalid calibration status is removed from service until compliance is restored.
- Provide calibration documentation and traceability records as required by clients and regulatory authorities.
3. Inspection Coordination
- Coordinate periodic inspections of equipment lifting accessories and tools as required by company procedures and industry regulations.
- Schedule pre-use periodic and statutory inspections to ensure equipment remains compliant and fit for service.
- Review inspection reports and ensure identified deficiencies are addressed and closed out in a timely manner.
- Maintain inspection records and ensure all inspection findings recommendations and corrective actions are documented.
Coordinate follow-up inspections and verification activities after repairs modifications or corrective actions.
4. Compliance & Documentation Control
- Maintain a centralized database of certification calibration and inspection records for all equipment and tools.
- Ensure all compliance documentation is accurate controlled and available prior to equipment deployment.
- Conduct routine reviews and audits of records to verify compliance with company client and regulatory requirements.
- Generate periodic reports on certification status calibration schedules inspection compliance and upcoming renewals.
Support internal external and client audits by providing required documentation and compliance evidence.
5. Continuous Compliance Monitoring
- Monitor equipment compliance status and proactively identify upcoming certification calibration or inspection requirements.
- Develop and maintain renewal schedules to prevent certification or calibration lapses.
- Identify compliance risks and escalate potential issues that could affect operational readiness.
- Recommend improvements to certification calibration and inspection processes to enhance efficiency and regulatory compliance.
- Ensure full traceability and lifecycle management of certification calibration and inspection records for all equipment and tools.
Qualifications:
- High school diploma or equivalent; bachelors degree in a related field is a plus.
- 5 years of experience in logistics dispatching or a related role with preference given to those with experience in the oil and gas industry
- Knowledge of equipment certification requirements inspection standards lifting equipment regulations and compliance management systems.
- Experience maintaining equipment certification databases and coordinating third-party inspections and audits.
- Strong attention to detail with the ability to monitor certification expiry dates and ensure regulatory compliance.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in scheduling and dispatching software/tools.
- Knowledge of safety regulations and practices in the oil and gas industry.
