Job Summary
A premier contracting organization operating under an established international group founded in 1977. The group provides comprehensive services across General Contracting Heavy Equipment Rental Local Staffing & Outsourcing Overseas Recruitment Project Support and Oilfield Supplies.
An Administrative Assistant must ensure smooth office operations by handling daily administrative tasks supporting executives and maintaining organization. Responsibilities include scheduling communication document preparation and office management. The ideal candidate is organized proactive efficient and fluent in English contributing to overall team productivity.
- General & Executive Support: Provide general administrative support to the team including managing special projects conducting research and handling ad hoc requests.
- English Communication & Correspondence: Answer phones direct calls take messages and manage professional written and verbal correspondence with strong English skills.
- Document Preparation: Draft format and edit documents such as reports presentations and official letters in English.
- Financial Oversight: Track and manage expenses process invoices and assist with budget monitoring and reporting.
- Data Management: Input and update data in various systems such as databases or spreadsheets and maintain accurate records.
- Meetings & Schedules: Organize and maintain schedules for management or team members (including booking meetings appointments and travel arrangements) prepare meeting materials take minutes and follow up on action items.
- Event Coordination: Coordinate events from small meetings to larger corporate events including participant communication.
- Stakeholder Support: Respond to inquiries and provide general support to relevant internal and external stakeholders.
- Internal Communication: Executives managers team members HR Finance IT Support Facilities Management and Procurement.
- External Communication: Service providers and suppliers.
Requirements
- Education: Diploma in a relevant field.
- Minimum 4years of professional experience.
- Background working with Technical & Training Institutes (as a trainer or administrator) OR within Oil & Gas / EPC companies.
- GCC experience is preferred.
- Language Skills: Strong command of written and spoken English.
- Core Competencies: Organization time management verbal & written communication attention to detail technical proficiency problem-solving teamwork and adaptability.
