Role Overview

An experienced Project Management professional is required to support digital document management and archiving activities within large-scale infrastructure projects. The role focuses on managing project archives maintaining document structures supporting project teams and ensuring compliance with information management standards and quality requirements.

The successful candidate will play an important role in improving information management processes and coaching project employees in proper document management practices.

Key Responsibilities

  • Manage and maintain digital project archives within a Document Management System (DMS)
  • Ensure correct registration metadata management document classification and file organization
  • Maintain authorization matrices and manage user access rights
  • Create and maintain standard views and search structures within the DMS
  • Draft and maintain work instructions manuals and archiving guidelines
  • Organize rate select and modify digital files and folder structures
  • Ensure proper processing and routing of incoming internal and outgoing documentation
  • Provide training and guidance to project staff on document management procedures
  • Monitor archive quality and ensure compliance with internal standards and regulations
  • Report system issues and identify improvement opportunities for document management applications
  • Maintain planning schedules and evaluate archive files regularly
  • Support continuous improvement of information management processes

Project Environment

The assignment supports major bridge renovation and infrastructure projects in different project phases including realization and preparation activities.

Required Qualifications

  • HBO working and thinking level
  • Completed MBO qualification in Information Management or equivalent
  • Minimum 2 years of demonstrable experience with Document Management Systems and digital archiving
  • Knowledge of documentary information management and related ICT tools
  • Experience independently drafting work instructions and guidelines
  • Strong written and verbal communication skills in Dutch

Preferred Experience

  • Experience within large-scale civil engineering or infrastructure projects
  • Knowledge of relevant regulations and frameworks related to information management and privacy
  • Experience with record management systems and archive structures
  • Experience setting up and maintaining document management systems
