Position Overview:
The Travel and Logistics Support Specialistis responsible forcoordinating all travel arrangements to ensure smooth and efficient program implementation. This role requires strong organizational skills attention to detail and the ability to manage multiple priorities under tight deadlines.
Key Responsibilities:
Sending introductory and pre-departure emails to allparticipanttravelers
Collecting Travel Information Forms and Bank information from travelers and follow up on any pending submissions
Screening travelers
Creatingor updatingCost Point profiles and updating Concur traveler profiles
Updating workbook and ensure that all travel bookings are within budget
Researching and booking flight itineraries in Concurthat are compliant with organizational travel policies and USG regulations
Maintaining copies of all tickets in thesharepointfolder
Creating expense reports for travelers whose flight details are already integrated into Concur
Prepare andsubmitexpense reports in compliance with organizational travel policies and USG regulations
Provide travelers with guidance on visa requirements and issue booked itineraries as supporting documentation whenrequired
Support emergency travel requests and troubleshoot any travel-related issues.
On site support may berequiredbasedon business needs
Other duties may be assigned as needed
Required Qualifications:
24 years of experience in travel coordinationlogistics or operations roles.
Familiarity with international travel regulations visa processes and vendor management.
Proficiencyin Microsoft Office Suite (Word Excel Outlook); experience with travel management systems (e.g. Concur) is a plus.
Strong organizational and problem-solving skills; ability to work in a fast-paced environment.
Excellent English and Arabic communication skillsandcustomer-serviceorientation.
Preferred Qualifications:
Bachelors degree in Business Administration Logistics ora relatedfield (or equivalent experience).
Experience working for NGOs or international development organizations.
Knowledge of donor compliance requirements (e.g. USAID UN EU).
Ability to work across multiple time zones and handle last-minute changes.
