Job Description

Purpose of the Position: To support the key sales objectives and goals of the company. In addition to general administrative support of the Project Managers Sales Representatives and marketing department the position will be responsible for order intake preparation of quotations general administrative support of the sales and marketing department

MAIN RESPONSIBILITIES
Sales and General Administration:
including but not limited to:
  • Receive RFQ s and do all quotations and ensure it gets out to the client and relevant sales representative in an effective and timely manner.
  • Maintain up to date Rate and Tenders / Enquiries
  • Maintain up to date Order Intake sheets.
  • Maintain up to date Quote vs Order data and hit rates.
  • Coordination followup and retrieval of sales representative s weekly reports; neatly coordinate these for the sales manager.
  • Sales representative claims administration.
  • Maintain up to date sales rep effectiveness sheet for sales manager.
  • Monitor and feedback of daily rep movements to Managing Director and Sales Manager.
  • Monitor respond to and distribute all quotes and queries in all mailboxes as assigned promptly and efficiently.
  • Monitor respond to and distribute of daily enquiries as posted on the various client as well as general mining procurement portals.
  • Create new GST/ 3rd party product codes on acknowledge in order to complete quotes on time.
  • Manage and keep record of product codes.
  • Administration and maintenance of Sales Department WhatsApp group.
  • Attend to client queries orders and order intake.
  • General administrative support of the sales and marketing and Project Managers ie. Taking minutes at sales meetings attend to requested paperwork typing of letters for Sales and Marketing team and Project Managers
  • Liaison between Sales Reps and Project Managers
  • Daily communication with Sales Reps regarding orders etc.
  • Implement assist and follow through with Sales Reps private projects as required
  • Ensure management of records is being done properly.
  • Keep up to date Contact Lists of Clients Vendors Suppliers and other important / relevant parties.
  • Attend to weekly Client Courtesy Calls and hand in weekly report to Managing Director
    (15 calls minimum per week)
  • Administrate Medical Tests for new employees

Preparation of Tenders Bulletins Vendor Applications and Contractor s Packs:


  • Produce Tenders Bulletins Vendor Applications and Contractor s Packs for the Company to submit as required that are accurate have complete information as required and within the deadline date.
  • Familiarizes self with content requirements and solicits information from appropriate sources.
  • Utilizes existing Tender Bulletin Vendor or Company information as far as possible to save time and effort.
  • Saves document information that can be used for future tenders bulletins and vendor applications.
  • Ensures documentation is accurate and professionally presented
  • Contractor s Pack administrating and completing the documentations as per each client s contractors pack scope and requirements.

Financial Administration Duties:


Debtors:

  • Scanning in of invoices and renaming them electronically and linking them to the order/ invoice
  • Follow up on problem files internally (missing files and missing P.O.D s)
  • Spot check on Secunda Files (View if they are correctly linked and closed off)
  • Print out invoices of Exxaro and Anglo to be sent to the mines

Creditors:

  • Scanning and linking of invoices on the Creditors side
  • Opening of Job Files



Marketing Assistance Duties:

Standby for assistance in Marketing


Administration Management (Branch Office / SLA)


The management of all administration functions of all Service Level Agreement (SLA) administrators as well as with all the administrators at GST Branch Offices


Requirements

  • Minimum National Senior Certificate
  • 5 years experience in a similar role
  • Excellent MS Office skills
