About the Role

Were seeking a talented Senior Business Support Specialist (Procurement) to join our Spain team! Youll closely collaborate with our procurement team in the Netherlands and/or China HQ. This role primarily focuses onprocurement and sourcing requiring expertise in company procurement processes management of suppliers and contracts ordering and delivery management payment oversight and report preparation. As a key player youll excel in crossdepartmental collaboration and budget management ensuring our purchasing strategies align with company goals. Key Responsibilities:

Procurement

1. Adhere to Company Procurement Processes:

  • Familiarize with and ensure adherence to company procurement policies and regulations.
  • Assist in developing and updating procurement processes to enhance efficiency and standardization.

2. Management of Suppliers and Contracts within the System:

  • Create manage and maintain qualified supplier information within the companys procurement system.
  • Review and manage supplier contracts to ensure compliance with company requirements.

3. Ordering and Delivery Management:

  • Create accurate purchase orders within the procurement system and ensure timely delivery coordination with suppliers.

4. Payment Management:

  • Monitor the payment status of purchase orders and coordinate with the finance department to resolve paymentrelated issues.

5. Report Preparation:

  • Collect organize and analyze procurement data to prepare monthly quarterly and annual procurement reports.
  • Provide decision support and recommendations to management based on procurement data and trends.

6. Information System Implementation:

  • Lead and coordinate the implementation of information systems ensuring all procurement activities are conducted within the system.
  • Assist team members in adapting to system operations.

7. Crossborder Procurement Support:

  • Provide procurement support across European countries coordinating procurement activities and ensuring compliance with local regulations.

8. Continuous Improvement and Learning:

  • Participate in continuous improvement of procurement processes and systems.
  • Continuously update procurement knowledge and skills to adapt to changing market and technological environments.

Sourcing

1. Support and Collaboration with Internal Departments:

  • Identify resource development opportunities for internal departments and provide support based on market demands and customer feedback.
  • Collaborate with internal teams to understand product requirements and guide the execution of resource development projects.

2. Project Planning and Execution:

  • Develop detailed plans for resource development projects coordinate with crossfunctional teams and monitor project progress to mitigate risks or delays.

3. Supplier Identification and Qualification:

  • Identify potential suppliers evaluate and qualify them based on quality reliability costeffectiveness and regulatory compliance.
  • Negotiate contracts and agreements with selected suppliers to ensure favorable terms and conditions.

4. Support and Coordination for Procurement Engineers:

  • Provide support and assistance to procurement engineers and teams ensuring smooth execution and progress of resource development projects.

5. Quality Assurance and Compliance:

  • Establish quality standards and specifications for resources conduct regular quality checks and address any nonconformities promptly.

6. Budget Management and Cost Control:

  • Develop and manage budgets for resource development projects monitor expenditures and implement costsaving measures.

7. Timeliness and Digitization:

  • Emphasize adherence to project schedules support system launches ensure integration with information systems and implement effective project management strategies.

8. Continuous Improvement and Digitization:

  • Identify opportunities for process optimization and efficiency improvement implement best practices and foster a culture of continuous improvement within the team.

9. Collaboration and Communication:

  • Collaborate closely with crossfunctional teams and effectively communicate with internal and external stakeholders to ensure consistency and synergy in resource development work.

10. Documentation and Reporting:

  • Maintain accurate records and documentation related to resource development activities and prepare comprehensive reports for management summarizing project progress and key milestones.

Qualifications:

  • Bachelors degree in Business Administration Supply Chain Management or related field (Masters degree preferred).
  • Fluent English. Local European language and Chinese language is a plus.
  • Proven experience in procurement and sourcing roles preferably in a multinational environment.
  • Strong knowledge of procurement processes contract management and supplier relationship management.
  • Experience with implementing and managing procurement information systems (e.g. SAP).
  • Excellent analytical and problemsolving skills with the ability to analyze procurement data and trends.
  • Strong communication negotiation and interpersonal skills.
  • Ability to manage multiple projects simultaneously and prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Certification in procurement (e.g. CIPS) is a plus.
