SCOPE

EPS is seeking an Project Coordinator to provide services to support people change readiness for the implementation of a new integrated case management system for Territory Families, Housing and Communication Department.

The Project Coordinator performs a critical role in coordination and providing project administrative services to support the Organisational Change Management Stream team successfully implement in-flight and developing organisational change management, communications, training work packages and people support services to diverse and geographically dispersed stakeholders across the six regions within the Northern Territory

Reporting to the CMSA Organisational Change Management Stream Lead, The Project Coordinator will perform a range of coordination and administrative support services, which will include,
  • Providing administrative and coordination service to the Stream Lead and team members as assigned.

  • Providing administrative and coordination services to support the planning and mobilisation of the Go Live people support teams and services; tracking and reporting on issues and resolutions

  • Coordinating development and approval of team travel and accommodation arrangements Sourcing, collating and compiling data and information to inform Regional Change tactical delivery plans, Program Benefit Realisation plan

  • Collating and compiling Organisational Change Readiness survey findings and preparing report.

  • Preparing and reviewing briefs, presentations, reports and other project documents to meet quality standards

  • Maintaining stream work breakdown schedule, stakeholder and communication registers and prepare progress reports to align with Program schedule and reporting routines

Requirements

Essential Skills and Experience:
  • Experienced in delivering coordination and or administrative support services in fast paced work environments.

  • Planning and coordinating people, places and equipment for delivery of stakeholder workshops, presentations and or system demonstration activities; across geographically dispersed locations.

  • Preparing business and or project documents for executive / senior level stakeholder audiences

  • Ability to proactively source from a range of multi-disciplinary work teams and collate data and information into easy to read and understand documentation.

  • Strong communication skills and advanced organisational skills with the ability to handle multiple assignments, well-practiced in time management and task prioritisation

  • High level attention to detail and proficiency in using the MS suite is essential

  • Desirable Skills and Experience:

  • Proven work experience as a Project Coordinator, Project Support Officer, Event Planner and or Administrative Officer.

  • Ability to adapt and learn quickly when joining new work environments and teams with established plans, routines and deliver schedule.

  • Experience project scheduling and skills in using Jira, Confluence and e-learning platforms.

  • Work experience in either Government, children services, social services, health, or education sector.

  • Knowledge of Project Management and or Organisational Change Management methodology, tools and templates.


Deliverables:
  • Coordinated delivery of Program Hyper Care People Support Services within Regional locations, includes development of required tools, templates to capture, track and report people related post go live issues, fixes and delivery of required people support services, team travel and accommodation bookings.

  • On time delivery of Organisational Change Readiness progress tracking and go live readiness reports; in line with Program schedule, process and reporting routines.

  • Delivery of assigned briefs, presentations, reports and other project documents to meet quality standards and approval for release to Program Governance Committees and stakeholders.

  • Managed and maintained stream work breakdown schedule, stakeholder and communication registers and prepared progress reports to align with Program schedule and reporting routines

  • Provide service support to the Stream lead in the areas of tracking progress of work activities to ensure alignment with Program schedule; process and tools.

  • Provision of timely, accurate feedback and mitigation advice on risks and barriers that may effect on time delivery of CMSA Organisational Change Management Stream schedule.
