Job Description

  • supporting the local Director in all of the office management duties
  • Daily management for the office (welcoming guests, answering phone and visitors, and IT support)
  • Acting as Personal Assistant to the office Director
  • Coordinate, and manage conference room and meetings, travel arrangements, scheduling appointments, and maintaining calendars
  • Ensuring the office space is organized, safe, and clean
  • Printing, scanning, and posting documents and letters
  • Taking meeting minutes when requested
  • Manage office supply budget, order supplies, and report office expenses to the accountant and Financial Controller
  • Acting as the key contact person towards outside suppliers, banks, etc.
  • Tracking maintenance issues required system updates, and repair requests in the office
    Serves as designated HR rep for office to include coordinating interviews, potential hires paperwork, and orientation
  • Organize culture-building activities such as; charity and after-work events
  • Keeping a positive work atmosphere in the office
  • Perform other duties as assigned

Job Requirements

  • University degree graduate
  • Must be excellent in written and spoken English
  • At least 10 years of administrative
  • Skilled in computer software, specifically MS Office
  • Strong attention to detail in composing, typing, establishing priorities, and meeting deadlines
  • The ability to multi-task and work well with limited supervision
  • A dynamic professional with outstanding interpersonal and communication skills
  • Committed to quality and able to handle confidential information with integrity and maturity
