Job Title: Office Professional/Administrative Assistant
Job Overview: The Office Professional/Administrative Assistant plays a crucial role
in the smooth functioning of the office environment. They provide administrative
support to ensure efficient operation of the office. The role encompasses a wide
range of duties including managing schedules handling communications organizing
files and performing various clerical tasks. The ideal candidate should be well
organized detailoriented and possess excellent communication and interpersonal
skills.
Responsibilities:
1. Managing Communication:
Handling incoming and outgoing correspondence via emails and
telephonic as required.
Communicating with clients vendors and other stakeholders.
2. Scheduling and Calendar Management:
Coordinating appointments and meetings.
Managing calendars for executives and team members.
Reminding team members of upcoming deadlines and appointments.
3. File Management and Data Entry:
Organizing and maintaining physical and digital files.
Updating and maintaining databases.
Performing data entry tasks with accuracy and efficiency.
4. Administrative Support:
Onboarding support for new hires
Assisting with the preparation of documents reports and
presentations.
Making travel arrangements and preparing travel itineraries.
Ordering office supplies and maintaining inventory levels.
Managing Expense Reports
Creation of Purchase orders and managing the invoice payment flow
for departments
5. Meeting Support:
Arranging meeting spaces and equipment.
Taking meeting minutes and distributing them to attendees.
Assisting with the preparation of meeting materials.
6. Customer Service:
Greeting visitors and providing assistance as needed.
Responding to inquiries and resolving issues in a timely manner.
Ensuring a high level of professionalism and customer satisfaction.
Qualifications:
High school diploma or equivalent; additional qualifications in Office
Administration or related field are a plus.
Proven experience as an administrative assistant or office professional.
Proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint).
Excellent written and verbal communication skills.
