Location: Malta

We are hiring for a a leading company in Malta dedicated for a position Accounts payable Executive

Position Overview:Reporting to the Financial Controller the Accounts Payable Executive is a pivotal role within our finance department. The Accounts Payable Executive is primarily responsible for managing the Accounts Payable function ensuring the accurate and timely processing of suppliers invoices while also supporting various accounting duties and financial reporting tasks as required.

Responsibilities:

  1. Ensure supplier invoices align with respective contracts and purchase orders.
  2. Obtain appropriate payment authorization before issuing payments to vendors.
  3. Review and approve the posting of invoices ensuring accurate general ledger data entry and classification.
  4. Prepare periodic payment batches ensuring all supplier payments are processed accurately and on time.
  5. Review suppliers contracts financial terms and conditions before signing identifying and communicating any financial implications.
  6. Issue sales invoices as per instructions from the Financial Operations team and follow up on receipt of funds.
  7. Reconcile and maintain Aged Payables and Aged Receivables reports as part of internal controls.
  8. Update and reconcile Fixed and Intangible Assets Registers with respective General Ledgers.
  9. Assist in the preparation of monthly management accounts by preparing accruals prepayments and bank reconciliations.
  10. Assist external financial audit by providing required supporting documentation including invoices and contracts register.
  11. Prepare financial reports and complete other ad hoc tasks delegated by the manager.
  12. Suggest changes or improvements to increase efficiency of accounts payable internal processes.
  13. Maintain good working relationships with other departments within the organization.

Experience:

  • Minimum of 2 years experience in a finance role (experience in a regulated institution considered an asset).

Knowledge and Skills:

  • Strong knowledge of accounting principles and accounts payable processes.
  • Understanding of VAT principles.
  • Experience with general ledger functions and monthend closure processes.
  • Proficiency in financial software and AP modules.
  • Proficiency in Microsoft Excel.

  • Aptitude for meeting deadlines and adapting to changing priorities.
  • Ability to translate priorities and actions into measurable results.

  • Ambition to enhance knowledge and skills in a dynamic environment.
