Job Description
Job Title: Executive Assistant to the Superintendent
Exemption Status: Non-exempt
Department/Location: Dept. of Catholic Schools/Diocese of Tucson Pastoral Center
Primary Function: Under the direction of the Superintendent of Catholic Schools is responsible for working independently in coordinating and facilitating various assigned activities and providing secretarial and administrative support for the Superintendent and Assistant Superintendent of Catholic Schools of the Diocese of Tucson and others as required by the Superintendent. The Executive Assistant shall be a minister of the Gospel and Catholic Teaching both behaviorally while at work and in his/her personal life Live in a manner worthy of the call you have received. (Eph. 4:1)
Essential Duties and Responsibilities:
  • Recognize and support the unique Catholic Mission of the school by speaking acting and instructing consistent with the teachings of the Catholic Church; a school employee may not espouse in word or deed any doctrine inconsistent with the teachings of the Church.
  • Shall abide by Catholic principles in the employees professional and private life and shall govern his/her professional and private life in strict accordance with Catholic morals and principles to demonstrate complete adherence to Catholic moral strictures
  • Work collaboratively in a positive friendly and professional manner with all members of the Diocesan staff
  • Work independently and display personal initiative coordinate facilitate manage and organize with timeliness and accuracy support for the pastoral and administrative responsibilities of the Superintendents office
  • Maintain and respect the privacy of the Superintendent Asst. Supt. the Bishop of Tucson and others similarly supported
  • Manage incoming communications to the Dept. of Catholic Schools
  • Receive and use independent judgement in handling all incoming calls and visitors; screen and handle requests for information.
  • Prioritize coordinate and schedule calendar requests; maintain and ensure accuracy of calendar; handle and coordinate logistics for all meetings social functions and gatherings
  • Manage and support quarterly Diocesan School Board meetings
  • Accurately and on a timely basis handle all correspondence incoming and outgoing
  • Manage and maintain files necessary for the Dept. of Catholic Schools
  • Provide necessary staff support to other organizations as requested
  • Order and handle all requested school forms from the principals; order office supplies and keep well stocked
  • Gather statistical information from schools annually
  • Participate in the planning and preparation of the Catholic schools annual dinner
  • Provide support to all school scholarship managers
  • Establish and maintain a relationship with student tuition organizations across Arizona
  • Prepare school cost to educate and tuition reports annually
  • Assist Operations Manager with Paycor Recruiting and hiring processes for schools
  • Perform other duties as assigned by the Superintendent
Physical/Mental Requirements: Requires coordination and manual dexterity; normal mental and visual ability; ability to lift as required in a normal office environment.
Required Activities: Walking; sitting; standing; stooping; reaching; talking handling hearing carrying and keyboarding.
Basic Qualifications:
  • A working knowledge of and a strong commitment to the mission of fostering lay leadership in the Roman Catholic Church. Must be a practicing Roman Catholic in full communion with the Church. If not a baptized Catholic must nonetheless abide by Catholic principles in the assistant principals professional and private life.
  • Excellent communications skills including written verbal public speaking and presentation skills
  • Excellent human relations and interpersonal skills; must be a self-starter and be well-organized; must be a team player
  • Ability to travel and be available for evening and weekend work as necessary; have reliable transportation
  • Ability to manage multiple tasks simultaneously
  • Proficiency in the use of computer technology including word processing and the use of excel and related technology; ability to maintain confidentiality
  • Flexibility in assessing needs and strategies and adapting appropriately in a ministerial environment
  • Must be able to successfully pass a criminal history and background check
  • Professional bearing and clean and neat personal appearance
Education and Experience:
  • A bachelors degree in business education. or a related field from an accredited institution or equivalent experience
  • A minimum of five years experience in a high activity environment as an executive assistant administrative assistant or equivalent
Other/Preferred Skills and Abilities:
  • Proficiency in Spanish
