Job Summary
Overview:
RMIT Vietnam is seeking a contingent worker for the Event and Communications Assistant role. While the position is advertised by RMIT Vietnam the successful candidate will be employed and managed by an external service provider who will be responsible for the labour contract.

POSITION SUMMARY
The Event and Communication Coordinator will support all aspects of internal events of Alumni Relations team in Hanoi. The role will include content management on social media (Facebook LinkedIn SMS and Email) and support event on ground
Reports to: Deputy Alumni Relations Manager Hanoi
Indirectly reports to: Alumni Relations Consultant Hanoi
Key Accountabilities
Event Planning and Coordination
- Assist in organizing and delivering alumni events including reunions networking sessions workshops and conferences.
- Coordinate logistics such as venue bookings catering transportation and on-site event management.
- Work with internal and external stakeholders to ensure the smooth execution of events.
- Prepare event materials including invitations agendas presentations and follow-up reports.
- Manage registration form and track the attendance list.
Communications Support
- Create and schedule engaging content for alumni communication channels including email newsletters social media and the alumni website.
- Support the design and production of marketing materials for events and campaigns.
- Maintain and update the alumni database to ensure accurate and timely communications.
Administrative Tasks
- Provide general administrative support to the Alumni Team including scheduling meetings preparing reports and tracking budgets.
- Ensure timely documentation and archiving of event records communication materials and related files.
Key Selection Criteria
- Bachelors degree in relevant field that includes experience with managing events marketing and advertising public relations.
- From 1 years of experience in a similar role providing support in events and communications coordination in a medium to large size organisation.
- Excellent organisation and multi-tasking skills with the ability to deliver upon multiple deadlines.
- Keen attention to detail with ability to manage own time well and prioritise competing work demands effectively.
- Excellent verbal and written communication skills in both English and Vietnamese with a wide variety of stakeholders.
- Significant demonstrable superior knowledge and experience in using computer software such as Microsoft Word Excel Power Point and other event management software programs.
- Moderate skills and knowledge of graphic design applications such as Illustrator and Photoshop is desirable although not essential.
