Senior Executive Assistant (French Speaker) | HR Shared Services
Job Summary
- Direct Executive and Stakeholder Support: Provide comprehensive administrative and executive support directly to the Management Committee (MC) and/or Project Management Team (PMT). Facilitate communication with internal and external stakeholders manage all correspondence (calls emails) perform translations as required and serve as a key liaison.
- Calendar and Meeting Management: Meticulously manage complex executive and committee calendars schedule and coordinate all appointments board meetings conferences and other engagements.
- Travel and Logistics Coordination: Oversee and manage all travel arrangements including booking flights accommodation and ground transportation for executives and team members.
- Document Preparation and Reporting: Gather compile and analyze relevant data synthesize complex information and produce regular reports and presentations as directed. Draft edit and finalize a wide range of documents including official correspondence internal notes standards and reports. Maintain accurate records and filing systems.
- Event Organization: Organize and coordinate national and international events and meetings liaising with all necessary internal and external contacts to ensure successful execution and managing stakeholder agendas.
- Confidentiality and Security: Handle all confidential documents and sensitive information with the utmost discretion and ensure full compliance with security protocols to maintain their integrity.
Qualifications :
- Bachelor / Master Degree
- Fluent/native English and French (mandatory)
- Specialized Technical Knowledge: In-depth and applied mastery of specialized technical scientific or domain-specific knowledge required for the role. Ability to apply theoretical and conceptual principles to solve practical challenges.
- Strategic Insight and Alignment: Clear understanding of management priorities and strategic organizational decisions. Aptitude to actively contribute and participate consciously in decision-making processes.
- Comprehensive Organizational Knowledge: Profound understanding of the organizations business systems processes and culture enabling effective and integrated performance.
- Broad Activity Execution: Capacity to manage and execute a diverse set of interrelated activities leveraging past experiences to optimize outcomes.
- Critical Analysis and Problem Solving: Analytical skills to diagnose complex situations identify root causes and develop effective innovative solutions.
- Operational Responsibility and Planning: Assume responsibility for an integrated set of activities ensuring the achievement of goals and results within the timelines of an operational plan.
- Autonomy and Decision-Making: Ability to operate independently within a defined area making informed autonomous decisions to support activities and resolve specific problems.
- Resource Management and Result Accountability: Responsible management of resources (where applicable) and a strong focus on achieving directly impactful results. Significant contribution to strategic decision-making.
