Job Summary
Full Time Administrative Assistant - Main Office Job Summary:Saint Anselm Catholic School is seeking a welcoming organized and faith-filled individual to serve as the full-time Administrative Assistant facilitating the many functions of the Main Office. These duties range from hospitality and visitor management to managing student attendance and offering leadership to various school communication efforts. As the first point of contact for students parents staff and visitors the ideal candidate represents the school with professionalism warmth and a commitment to Catholic values. Through engagement in the daily operations of the school office this position is a catalyst for the safe positive effective and efficient operations of the school. They act as witnesses to Gospel values by modeling the teachings of Jesus Christ and they support and adhere to the Code of Conduct and policies and procedures of the school and Archdiocese of Detroit. Job Responsibilities: Serve as the primary point of contact for the school office greeting visitors and answering phones in a professional and welcoming manner maintaining protocols of school security identified by the school Manage daily student attendance records and student and guest sign-in/sign-out processes with accuracy Provide administrative support to the principal teachers and staff Maintain student files records and databases in accordance with school policies Maintain student health records including annual report submission to state database and organization of forms/medication for school field trips Support students throughout the school day including attending to students needs. Assist with school communications including newsletters emails and announcements Maintain a log of parent volunteers including ensuring parent volunteers meet necessary qualifications Manage lunch monitor schedule including soliciting volunteers for vacancies. Monitor staff attendance securing substitute teachers when needed Coordinate and support school events meetings and activities Handle incoming and outgoing mail deliveries and general office correspondence Maintain collection of office supplies and ensure the office environment is organized and efficient Assist with tuition records forms and other clerical tasks as needed Respond to parent inquiries and direct concerns appropriately Uphold confidentiality and professionalism in all interactions Support the schools mission by modeling Catholic values Perform all other duties as assigned Preferred Qualifications: Prior office or administrative experience preferably in a school setting High school diploma required; associates or bachelors degree preferred Willingness to support the mission of Saint Anselm Catholic School and Catholic education Proficiency in office software (Google Workspace Microsoft Office student information systems (FACTS or similar)) Strong organizational communication and interpersonal skills Ability to multitask prioritize and meet deadlines in a fast-paced environment Experience handling confidential information with discretion Ability to work collaboratively with faculty staff parents and parish community Physical Demands: The physical demands described represent those that must be met by an employee to successfully perform the essential functions of this job. Seeing to read a variety of materials. Work Environment: This position is centered in an Indoor school office environment in a team-centered office. There is a constant need for multitasking and demand to flexibly support interruptions and unexpected situations.
