About The Opportunity

Programmeds Facility Management department are currently seeking an experienced Operations Support Coordinator to join our dynamic team based at our Burswood office. This integral role will see you support the daily allocation and administration of work orders on the Department of Housing Contract working toward high KPI achievement growing stakeholder relationships and meeting all contract deliverables with excellence.

Key Responsibilities

  • Ensures administrative and support processes are adhered to in line with Programmed FM quality systems and procedures.
  • Provides prompt responses to incoming requests including via phone and email.
  • Ensures that all administrative processes are completed in a timely and accurate manner.
  • Ensures all information and documentation is safely stored in accordance with policy considering the confidentiality and security requirements of the contract.
  • Assists with generating and completing reports as required and ensures they meet specified timeframes and quality standards.
  • Processes variation requests to ensure compliance with Programmed and contractual standards and seeks approval in line with contract requirements.
  • Maintains an effective filing system.
  • Supports the sustainability initiatives and programmes implemented within Programmed FM and Programmed.
  • Provides feedback and participates in continuous improvement initiatives to assist the wider team in improving results in line with contractual obligations.
  • Supports cultural initiatives and programmes implemented within Programmed FM and Programmed.
  • Actively identifies hazards in the workplace and assists in mitigating or eliminating them.
  • Ensures that required compliance-based activities are undertaken in a timely and satisfactory manner.

The ideal candidate for theWorksOrderCoordinatorrole will possess the following qualities and qualifications:

  • Customer-Focused:Exhibits a high level of customer service skills with a proven track record of building and maintaining positive relationships with both internal and external stakeholders.
  • Organised and Detail-Oriented:Capable of managing multiple tasks simultaneously with a keen eye for detail to ensure accuracy in processing and reporting.
  • Strong Communication Skills:Excellent verbal and written communication abilities to interact effectively with stakeholders address queries and provide clear information.
  • Problem-Solving Abilities:Proficient in identifying issues and developing solutions particularly in managing administrative tasks and addressing maintenance-related queries.
  • Adaptability:Comfortable with change and able to adjust to evolving requirements and priorities in a dynamic work environment.
  • Technical Proficiency:Experience with asset management systems like Loc8 or similar platforms is highly desirable. Familiarity with data reporting and analysis tools is also beneficial.
  • Administrative Skills:Solid experience in handling administrative tasks including managing shared mailboxes creating workorders and maintaining accurate records.
  • Stakeholder Engagement:Ability to build and maintain professional relationships with a diverse range of stakeholders including clients vendors and internal teams.
  • Knowledge of Contracts:Understanding of the DoHW (Housing) contract and its administrative processes would be advantageous.
