The Juneau Police Department is hiring an Administrative Coordinator to support the Alaska High Intensity Drug Trafficking Area (HIDTA) and the Southeast Alaska HIDTA Initiative as part of the Southeast Alaska Cities Against Drugs (SEACAD) task force.


The High Intensity Drug Trafficking Area (HIDTA) program seeks to reduce the production smuggling transportation and distribution of illegal drugs in the United furtherance of this responsibility Alaska HIDTA promotes collaboration by and between federal state local and tribal agencies to identify and address priorities. The approach to reducing the drug threat and the harmful effects that linger in Alaska is diverse and achieved through operational law enforcement efforts intelligence gathering and sharing prevention and treatment programs and education and training initiatives.


Continued employment is contingent on continued government grant funding.



WHO WE ARE LOOKING FOR
Someone who is detail oriented and highly organized who can oversee multiple HIDTA grants from start to finish while upholding the strictest confidentiality of sensitive information. The ideal candidate is someone who can build positive relationships with SEACAD members as well as manage deadlines and requests with quick turnarounds while maintaining JPD CBJ and HIDTA compliance.

WORKING HOURS AND LOCATION

This position primarily works Monday through Friday from 8:00 AM to 4:30 PM with some flexibility in hours at the Juneau Police Department (in the Lemon Creek area). Occasional work may be required at other locations in support of the HIDTA Executive Director. While at JPD there is free parking available in JPDs secure parking lot.


Typical Responsibilities

This position will support the HIDTA Executive Director the Juneau Police Department Drug Enforcement Unit and the Southeast Alaska Cities Against Drugs task force.


This position is responsible for managing most financial aspects for the SEACAD task force. Duties include coordinating preparing and reconciling training travel business travel and confidential travel for all SEACAD members. The position will also purchase equipment and supplies using a purchasing card or purchase orders and complete all purchasing card reports for all JPD Drug Enforcement Unit members.


In addition this role will track grant expenditures to ensure proper account coding and submit corrections for any miscoded items. Responsibilities also include reconciling overtime reports compiling overtime documentation and submitting required materials for grant reimbursement. The position will generate financial reports from CBJs financial system and compile supporting documentation for quarterly grant reconciliation and reporting.


The Administrative Coordinator will also support the activities of the HIDTA Executive Director by scheduling calls and meetings with stakeholders responding to communications and preparing and disseminating memos and materials. This position will plan and support meetings and HIDTA state-wide training quarterly board meetings and other events. They will serve as the liaison for the Alaska HIDTA Executive Board.

Minimum Qualifications

Education:

High School graduation or the equivalent.


Experience:

Six (6) months of entry level administrative experience that included work in one or more areas of Human Resources Procurement Accounting Finance Office Support or a related administrative area. This is equivalent to the Administrative Assistant with the City of Juneau or the equivalent with another employer.



SUBSTITUTIONS:

One year of clerical experience equivalent to the Office Assistant with the City of Juneau or the equivalent with another employer.

OR

One year of post-secondary education from an accredited college (32 semester hours or 48 quarter hours equals 1 year) or vocational training may be substituted for the required experience on the basis of: 150 hours of vocational education are equal to one month of experience.)

Other:

A valid Drivers license at time of appointment and for continued employment.


Ability and willingness to work shifts holidays weekends scheduled and emergency overtime and be available for required on-call duty; attend local and out of area training courses as authorized and required; willingness to wear a uniform and comply with department grooming standards; maintain minimum unscheduled absences and a high rate of attendance; maintain a positive attitude and be flexible to change.

Supplemental Information

MARIJUANA USE PROHIBITED:

Although marijuana usage is legal in Alaska such drug use is not federally legal nor is its use allowed per departmental policy. Furthermore an applicant with marijuana use within the past one (1) year will be automatically disqualified.


As part of the selection process applicants are subject to an extensive background investigation (that includes a criminal background review fingerprinting investigative review) and pre-employment screening for marijuana and controlled substances. All information provided by the applicant will be verified. Applicants who materially misrepresent any information provided in the employment process will be excluded from further consideration. Appointment to this position will be made conditionally pending successful completion of all portions of the background process and drug test results.

This position requires security clearance for the Alaska Public Safety Information Network (APSIN) issued by the Department of Public Safety (DP). DPS may deny security clearance for any applicant who has been convicted of a felony or misdemeanor in this state or another jurisdiction or who may be a fugitive from justice. Additionally security clearance will be withdrawn if DPS discovers that material information was falsified or omitted at the time of the initial application for security clearance.
