Assistant to the Director, Air Transat (temporary – 12 months)
Job Summary
In collaboration with the Executive Assistant to the Chief Operations Officer the assistant to the Director provides high-level administrative support to members of Air Transats senior leadership team. The incumbent plays a key role in the smooth day-to-day operations of the organization by supporting leaders in a fast-paced constantly evolving environment where collaboration rigor and discretion are essential.
Responsibilities
- Provide proactive high-quality administrative support to senior leadership and respond efficiently to daily needs.
- Manage Outlook calendars coordinate priorities and adjust schedules based on business requirements.
- Follow up with internal stakeholders to ensure deliverables and action items are completed in a timely manner.
- Prepare and process expense reports using Concur.
- Provide logistical and administrative support for meetings (conference room bookings catering agendas presentations minutes etc.).
- Coordinate business travel arrangements.
- Draft translate and format correspondence and documents while ensuring confidentiality and discretion.
- Act as a replacement for the Executive Assistant to the Chief Operations Officer when required and perform any other related duties.
Qualifications :
- College diploma (DEC) in office administration or an equivalent combination of education and experience.
- A minimum of three years of experience in a similar assistant to the Director role or senior administrative support role.
- Experience supporting senior leaders in a complex corporate environment; knowledge of the airline or transportation industry is an asset.
- Strong interpersonal skills sound judgment diplomacy and a client-oriented mindset.
- Demonstrated ability to handle highly confidential information with professionalism and discretion.
- Excellent organizational skills strong attention to detail and the ability to manage priorities and multiple requests effectively.
- Proactive approach autonomy and strong collaboration skills within a team environment.
- Excellent command of MS Office tools (Word Excel Outlook PowerPoint) and Adobe Acrobat with demonstrated ease in using collaborative digital tools and artificial intelligence (e.g. Copilot); knowledge of SAP and Concur is an asset.
- Ability to learn quickly and adapt to new technologies.
- Oral and written fluency in French and English*.
A good knowledge of French is required for positions in Quebec. The incumbent will be required to communicate and collaborate frequently in English both orally and in writing with colleagues customers and other stakeholders in Quebec the rest of Canada and internationally.

- On-site position based at our Côte-Vertu offices.
