Job Description
Were seeking an experienced Administrative & Project Coordinator for a contract role in Dartmouth NS. This position supports project delivery from start to finish working closely across multiple site teams. The role has strong potential to become permanent and focuses on coordinating project workflows maintaining documentation and reporting supporting scheduling and resource allocation and ensuring strong communication and compliance across all project activities.
Key Responsibilities for the Job:
- Coordinate projects from initiation through completion in coordination with project teams
- Manage project handover process and mobilization documentation
- Maintain electronic project filing systems and project records
- Prepare Time & Materials (T&M) documentation and support billing processes
- Support monthly project reporting (costs progress schedule)
- Assist with scheduling crews equipment and project resources
- Monitor daily scope changes and ensure updates are communicated
- Support safety processes training coordination and site mobilization planning
- Communicate with clients contractors and site supervisors on project requirements
- Maintain compliance documentation (insurance WCB safety plans certifications)
- Support project close-out activities and financial processes
- Assist in process improvements workflow updates and system maintenance
- Previous experience in a similar role involving project coordination construction or related other field
- Proficiency with Microsoft Office and project management systems
- Understanding of construction workflows and documentation processes (asset)
- Knowledge of safety and compliance requirements (asset)
- Strong organizational and time management skills
- Excellent communication and interpersonal abilities
- Ability to manage multiple priorities in a fast-paced environment
