The Administrative Director (AD) serves as the senior administrative leader for the Arkansas Childrens Dental Program at Lyon College and is responsible for the overall coordination management and optimization of program operations. The position provides oversight of administrative processes financial and operational performance partner coordination and compliance-related functions to support effective efficient and high-quality program delivery. The AD is responsible for overseeing the day-to-day operations of the Dental Program operated within and on behalf of Arkansas Childrens
pursuant to the Managed Services Agreement and Affiliation Agreement. The AD serves as the primary operational liaison between the Lyon College School of Dental Medicine and Arkansas Childrens and works in close coordination with the Dean the Medical Director Arkansas Childrens leadership Providers and support staff.


The Dental Program includes a hospital-based program providing complex dental and craniofacial care for patients with medical developmental or structural anomalies as well as a school-based model that provides comprehensive dental care through a school clinic mobile dental clinics and a traveling sealant program. The Administrative Director provides operational leadership across these environments to support high-quality patient care efficient workflow educational integration and continuity of services.


POSITION DESCRIPTION

This position is responsible for staffing administration operational planning policy implementation records and documentation oversight clinic efficiency supply and inventory coordination and reporting on program performance. The Administrative Director supports optimal coding and billing practices quality assurance and performance improvement activities corrective action planning and coordination with Arkansas Childrens on budgeting resource planning access targets program development and strategic initiatives.


The Administrative Director ensures that program operations are carried out in compliance with applicable laws accreditation standards Arkansas Childrens policies medical staff bylaws clinical protocols privacy and security requirements and other regulatory obligations. The Administrative Director also supports Lyons academic mission by facilitating educational activities clinical training workflows and collaboration between operational and academic stakeholders within the Dental Program.


Duties and Responsibilities
Possess the qualifications experience and credentials necessary to effectively manage the Dental Program.
Oversee the day-to-day operations of the Dental Program in accordance with the Managed Services Agreement the Affiliation Agreement and applicable operational expectations of Lyon College and Arkansas Childrens.
Serve as the primary operational liaison between Lyon College School of Dental Medicine and Arkansas Childrens and coordinate with the Hospitals designated representatives the Dean the Medical Director Providers and support staff.
Coordinate administrative operations with the Medical Director and Arkansas Childrens leadership recognizing that the Medical Director leads clinical quality and patient-safety functions while this position leads day-to-day administrative operations.
Oversee staffing and personnel matters related to the Dental Program and coordinate operational interfaces with Arkansas Childrens support staff and other institutional departments.
Support recruitment onboarding scheduling and operational deployment of Providers and other personnel needed to meet mutually agreed coverage and access targets across hospital- based school-based mobile sealant trauma OMFS and complex-care services.

Develop implement and maintain operational policies procedures workflows and standard operating procedures consistent with applicable law accreditation requirements hospital policies medical staff bylaws and clinical protocols.
Promote clinic efficiency and support accurate timely documentation coding and billing workflows in coordination with Arkansas Childrens billing and compliance requirements.
Maintain appropriate records and documentation and ensure timely use of Arkansas Childrens electronic health record and other information technology systems in accordance with hospital requirements.
Prepare and deliver regular operational financial quality and performance reports at mutually agreeable intervals and such other reports as may be reasonably requested.
Track performance metrics and benchmarks investigate operational variances or missed standards and develop and implement corrective action plans when needed.
Coordinate quality assurance performance improvement peer review risk management infection control and patient-safety related operational activities in collaboration with Arkansas Childrens and program leadership.

Support compliance with HIPAA HITECH the Anti-Kickback Statute the Stark Law the FalseClaims Act Medicare and Medicaid requirements state laws governing dentistry and oral and maxillofacial surgery and applicable accreditation standards.
Support the Dental Program compliance framework including written procedures training communication monitoring and auditing activities corrective action processes and response to detected issues.
Coordinate responses to audits payer inquiries regulatory reviews investigations and requests for records or information related to the Dental Program.
Manage inventory and ordering of supplies in accordance with Arkansas Childrens policies and coordinate equipment facility and infrastructure issues affecting program operations.
Coordinate orientation required training health requirements immunization documentation workflows and policy compliance for Providers and as applicable Dental Students assigned to the Dental Program.
Support Lyons educational integration within the clinical environment including coordination of student placements clinical rotations and related training workflows consistent with accreditation and hospital expectations.
Participate in budgeting resource planning service expansion strategic planning and other joint operational initiatives for the continued development and betterment of the Dental Program.
Maintain confidentiality and appropriate stewardship of patient information academic information financial information institutional records and other confidential information and perform other duties as assigned for the efficient operation of the Dental Program.
Provide the Dean with timely accurate and complete documentation data and other materials necessary to maintain CODA accreditation for the Dental Programs major site status under the Lyon College School of Dental Medicine.
Lead and coordinate all operational administrative and documentation activities necessary to support and maintain hospital accreditation requirements applicable to the Dental Program through Arkansas Childrens accrediting body.


Knowledge Skills and Abilities:
Candidates should possess the knowledge judgment and operational leadership skills necessary to support the Dental Program in a hospital-affiliated academic environment. The successful candidate will embody many of the following qualifications and attributes:
Knowledge of dental healthcare or hospital-affiliated clinical operations including management of multi-site or community-based service delivery.
Knowledge of staffing administration clinic workflow patient access documentation operational reporting and process improvement.
Knowledge of coding billing support audit readiness and documentation requirements relevant to dental services and hospital-based practice.
Knowledge of financial management and healthcare operations optimization including the ability to support revenue-cycle performance improve resource utilization reduce unnecessary overhead and streamline operational efficiency.
Working knowledge of HIPAA HITECH healthcare fraud and abuse laws accreditation standards hospital policies and regulatory expectations applicable to the Dental Program.
Ability to develop implement monitor and revise policies procedures and standard operating workflows.

Ability to analyze data prepare reports monitor quality and performance metrics and coordinate corrective action planning.


Requirements:
Strong supervisory organizational project management and operational leadership skills.
Strong written verbal and interpersonal communication skills including the ability to work effectively with executive leaders clinical leaders providers faculty staff and external partners.
Ability to use or quickly learn electronic health record systems reporting tools and other information technology platforms required for program operations.
Ability to handle sensitive and confidential information with sound judgment discretion and integrity.
Regular attendance is an essential function of the job.


Work Conditions:
Work is primarily performed indoors in hospital clinic office and academic environments but may include work at school-based or mobile community service locations.
Performing duties and attending meetings or events outside normally scheduled work hours occasionally occurs and may be required based on operational needs.
Travel between local program sites and occasional travel to other Lyon College or Arkansas Childrens locations as well as local state regional or national meetings may be required.
Incumbent may be exposed to normal office and clinical environment noise caused by telephones office equipment patient care activity and nearby oral communications among staff students and visitors.
