Brief Description of Duties TheStaff Assistant Events and Logisticsassistvarious duties includingscheduling spacecoordinating logistical details for eventsandbuilding/theater -siteevening/weekendsupervision ofeventoperationsas directed by the trains and supervisesevent staff.
Essential Duties and Responsibilities Assistwitheventoperationsto ensure spaces are event-readywhichincludesopening and closingfacilitiesandliaising with other universitystaffas -throughsof spaces used for events tomonitorcustomer use and needs. Upkeep and organizeeventinventorywhile following proper action and/or reporting protocols. Providecoordination of department event staff (crowd control audience management ushers etc.) at events held in university venues as assigned. Coordinates university-wide scheduling of university student club department and external client space useusing 25LiveLynx-SYSandBannerfor co-curricular and university academic schedulingandfor-credit class scheduling as needed. Coordinateson-site department representation forscheduledmeetings and events held at university campuses (ex. Van Ness Community College Old Congress HeightsFirebirdFarm andthe Ronald ReaganAirportHanger)cooperatively and collaborativelywithotherEvents and Operations Coordinatorsto ensure satisfactory service delivery and monitor proper space use as needed. Recruit hire and trainstudent event assistantsand customer secondarysupervision toother staff on dutyregardingthe coordination of event execution andlogistics. Contributes to informational data sheetsand orbriefings related to space use and event coordination. Distributescollectsandanalyzesspace use report data as requested. Performs other duties and responsibilities as assigned that are related to thoseenumeratedabove which do not alter the basic level of responsibility of the position.
Minimum Job Requirements Bachelors degree Two (2) years of progressive experience inevent management and customer service in a higher education in theater management is a plus. Experience hiring training and supervising staff. Sound understanding of event services (event planning space scheduling conference services etc.) Experience using scheduling software programs such as 25Liveor EMS. Excellent verbal and written communication skills; ability to listen clearly articulate thoughts/directions/expectations and develop reports/proposals and make presentations. Possess strong interpersonal skills and the abilitytoestablishand maintain effective working relationships with VIP guests senior government officialsadiverse population of students (post-traditional and international) academic departments external organizations and thepublic. Exceptional customer service toapply critical thinking to solveproblemscalmlyas unforeseen situations arise. Ability to workeveningsand weekendsasrequired.
