What We Are Looking For

Baylor University is seeking a Pre-Award Central Administrator to support the universitys research enterprise by managing the institutional review approval and submission of proposals for externally sponsored research projects. This position ensures compliance with sponsor and institutional policies facilitates timely submission of proposals. The Pre-Award Central Administrator works closely with Pre-Award University Research Administrators departmental research administrators and sponsors to enable successful and compliant research funding.

This position is eligible for remote work.

A Bachelors degree and three years of relevant work experience are required. A Bachelors degree and five years of relevant experience are preferred.

All applicants must be currently authorized to work in the United States on a full-time basis.

What You Will Do

  • Conduct comprehensive reviews of proposal packages to ensure accuracy completeness and adherence to institutional and sponsor policies guidelines and deadlines

  • Identify potential compliance or policy issues and work with faculty and departmental staff to resolve them prior to submission

  • Maintain high attention to detail and ensure all internal documentation and approvals are secured

  • Coordinate and obtain all required institutional approvals for proposal submissions

  • Ensure appropriate routing through internal systems and verify that necessary signatories and certifications are in place before submission to the sponsor

  • Prepare and submit institutionally approved proposal packages to sponsors through appropriate submission systems (e.g. NIH ASSIST or sponsor-specific portals)

  • Serve as the institutional point of contact for proposal submissions and confirm successful transmission and receipt by the sponsor

  • Collaborate with Pre-Award Contracts and Agreements team to review award documents and ensure sponsor terms and conditions are acceptable and align with institutional policies

  • Identify and communicate any problematic terms (e.g. intellectual property publication rights indemnification) to senior research administration staff or legal counsel

  • Collaborate with sponsors as needed to negotiate mutually acceptable terms and secure fully executed award documents

  • Partner with departmental and Pre-Award University Research Administration staff to ensure consistency and efficiency in pre-award operations

  • Contribute to training process improvement and documentation of best practices to support continuous improvement in research administration

  • Perform all other duties as assigned to support Baylors mission

  • Ability to comply with university policies

  • Maintain regular and punctual attendance

The budgeted salary or hourly range that the University reasonably expects to pay for standard level is $60000 - $65000 and for the Senior level is $70000 - $75000. The full salary range for this position classification is $51569.56 - $85089.77
